About the position

The Coordinator, IT Logistics at Harvard University Information Technology (HUIT) plays a crucial role in managing computer refresh and asset management processes. This position involves advising faculty and staff on computer options, ensuring customer satisfaction during deployments, and maintaining accurate asset records. The coordinator will also handle administrative tasks to support smooth communication and reporting within the unit, contributing to the overall goals of HUIT.

Responsibilities

  • Serve as a principal source of information on computer selection and advise faculty or staff on options.
  • Support outreach to schedule individual deployments related to the overall schedule.
  • Assist in preparing orders for computers and related deployment hardware.
  • Ensure customer satisfaction with deployments through follow-up and corrective action.
  • Assist in assigning assets to individuals and updating corresponding asset records.
  • Work with customers to determine asset reporting needs.
  • Create reports, review asset trends, and discuss next steps with management.
  • Assist in managing inventory and asset tracking.
  • Track purchased and leased assets from inception through disposal or return.
  • Complete asset audits.
  • Organize and implement administrative systems and procedures.
  • Provide smooth day-to-day communication between the unit, staff, and faculty.
  • Gather and maintain data for reports and spreadsheets using various software.
  • Compose, proofread, edit, and prepare correspondence and reports.
  • Participate in measuring performance and capturing lessons learned to improve processes.

Requirements

  • 3+ years related work experience.
  • Ability to work independently with minimal supervision.
  • Strong customer service skills with a proven record of accomplishment.
  • Excel or database skills.
  • Proficiency using a variety of computer software and systems.
  • Excellent oral and written communication skills.
  • Interpersonal and analytical skills.
  • Organizational skills with the ability to prioritize work in a conflicting environment.
  • Basic technical background to understand infrastructure/environment.

Nice-to-haves

  • Experience with ServiceNow report generation.
  • Experience with business process analysis and understanding business requirements.
