About the position

The Coordinator, Maintenance Systems & Vendor position at U.S. Xpress involves supporting the Maintenance group by assisting with software improvements, vendor coordination, and process enhancements. The role includes generating reports, managing email workflows, maintaining inventory accuracy, entering data into systems like Cetaris, and following up on work orders and purchase orders (POs). The position also requires attending meetings, engaging with customers, and contributing to cross-departmental projects.

Responsibilities

  • Provides support to the Maintenance group and collaborates with other departments.
  • Assists in identifying and implementing software improvements.
  • Supports and collaborates with all groups and departments as needed.
  • Assists in coordinating with vendors for software support.
  • Generates reports for management.
  • Supports maintenance software systems and assists with process improvements.
  • Assists with vendor support and basic follow-up on work orders and POs.
  • Maintains accuracy and participates in Corporate Ordering of all USX Shops inventories within the maintenance system.
  • Manages email workflows and ensures timely replies and resolutions to all requests.
  • Supports assigned projects collaboratively across all departments as required.
  • Enters final invoice cost and data within maintenance system PO and closes for payment.
  • Reviews all EDI exceptions for accuracy and adjusts as necessary.
  • Creates weekly report for all Open POs to all Service Providers.
  • Performs other duties as assigned.
  • Collaborates in-person with all levels of the organization to harness collective intelligence of the workforce.
  • Attends all in-person meetings and trainings on recent developments, goals, and objectives.
  • Regularly engages remotely and in-person with customers and potential customers to establish rapport, open communication, and expectations.

Requirements

  • High school diploma or equivalent required.
  • 2+ years' experience in related field preferred.
  • Experience in the transportation and/or logistics industry a plus.
  • Working knowledge of credit and rebill programs.
  • Basic communication skills and common courtesy required.
  • Basic computer skills required; experience with Microsoft Office, Internet and applicable company specific applications.
  • Good judgment and problem-solving skills.
  • Adept at assessing organizational dynamics and managing change.
  • Works quickly and efficiently.
  • Proactive and pragmatic problem solver.
  • Communicates effectively across multiple mediums.
