About the position

The Coordinator of Academic Affairs at Harvard University is responsible for providing high-level administrative support to the Department Chair and overseeing various academic processes, including faculty searches, research appointments, and departmental events. This role requires collaboration with faculty and committees to ensure smooth operations within the department.

Responsibilities

  • Oversee faculty searches and reviews, organizing meetings and drafting correspondence.
  • Advise faculty on research appointment options and process related documentation.
  • Review job advertisements, post openings, and compile applicant data.
  • Coordinate visa sponsorship for foreign scholars and faculty.
  • Maintain search and personnel files according to records schedule.
  • Compile data for annual NIH/NSF reports.
  • Process Harvard Sponsored Roles and onboard new faculty and researchers.
  • Organize faculty meetings and provide administrative support for the Department Chair.
  • Plan and execute departmental events such as retreats and symposiums.

Requirements

  • 5 years of administrative experience required.
  • Bachelor's degree preferred with 3-5 years of office administration and customer service experience.
  • Strong MS Office skills and solid writing, editing, and proofreading abilities.
  • Excellent interpersonal skills and professional communication with diverse groups.
  • Ability to handle complex and confidential information with discretion.
  • Strong organizational skills with the ability to prioritize multiple tasks.
  • Ability to work independently with minimal supervision.

Nice-to-haves

  • Experience in an academic environment is a plus.
  • Familiarity with visa sponsorship processes.
