About the position

The Coordinator of Development Administration and Marketing and Communications plays a vital role in supporting the Northwest Division's efforts in development administration and marketing. This position involves project management, ensuring smooth operations of various initiatives, and collaborating with divisional staff and external partners to achieve departmental goals. The coordinator will manage donor stewardship activities, marketing efforts, and assist in event planning, all while maintaining effective communication and organization within the team.

Responsibilities

  • Manage development administration and marketing and communications project management tracking systems, communication schedules, and logistics.
  • Steward development administration donors by providing membership services and managing annual donor efforts.
  • Support Development Administration Directors in identifying donor prospects and reaching out to potential supporters.
  • Monitor relationships with direct marketing vendors to ensure quality service and timely fulfillment.
  • Maintain analytics and creative aspects for all development administration and marketing initiatives while adhering to deadlines.
  • Project manage conferences, presentations, and seminars, including logistics and on-site support.
  • Manage development and marketing budgets to ensure resources are used wisely.
  • Prepare monthly activity reports based on completed gift reports for DHQ and THQ levels.
  • Review and post development administration gifts from Gift Management System to Portfolio System.
  • Monitor advertising and print billing processes for accuracy and process invoices for payment.
  • Assist with donor relations and gift planning reports and maintain organized files.
  • Create and optimize mass email communications and newsletters.
  • Support marketing and communications content activities, including managing content calendars and publicity releases.
  • Create, edit, and proof-read materials for internal and external audiences and distribute content via various channels.
  • Manage media relations activities, including research and monitoring media activity.
  • Oversee direct marketing finances by processing invoices and reconciling budgets.
  • Drive to events and meetings as needed.

Requirements

  • Bachelor's degree or comparable experience with a minimum of three years in an office role.
  • Effective interpersonal, conversational, and presentation skills.
  • Ability to collaborate effectively with officers, staff, and volunteers.
  • Ability to work independently in a fast-paced environment and manage multiple projects.
  • Proven project and event management skills.
  • Strong customer service and interpersonal skills.
  • High level of accuracy and thoroughness in work.
  • Strong communication skills (written, verbal, and graphic).
  • Ability to meet deadlines and work with a broad audience.

Nice-to-haves

  • Experience in fundraising, marketing, communications, and community relations principles.
  • Familiarity with content management systems and integrated database applications.
