About the position

The Coordinator of Operations & Special Projects plays a crucial role in supporting the Executive Director and Directors by managing various project management duties. This position requires a high level of discretion and judgment to efficiently handle action items, reports, and correspondence. The coordinator is responsible for creating documents, implementing operational plans, analyzing data for performance improvement, and managing multiple projects simultaneously while ensuring timely completion of tasks.

Responsibilities

  • Create drafts and finished documents from notes or printed materials, ensuring completeness and compliance with policies.
  • Establish and implement operational plans for successful project completion with direction from the Leadership team.
  • Review reports for significant items, changes, errors, or omissions and maintain department files for reference.
  • Conduct meetings on behalf of the Leadership team to gather information for reports and presentations.
  • Utilize data to drive performance and conduct metric-based analysis for efficiency maximization strategies.
  • Prioritize and manage multiple projects simultaneously, ensuring timely follow-up on tasks and deadlines.
  • Maintain SharePoint sites for key meetings to enhance organization of committees and projects.
  • Create and deliver customized project plans, presentations, and updates to ensure effective implementation and measurable returns.

Requirements

  • Bachelor's degree required.
  • 3-5 years of work experience in a hospital or corporate business setting.
  • Proficient in word processing, spreadsheet, presentation software, and database management.
  • Strong interpersonal communication skills and expert-level written/verbal communication skills.
  • Strong organizational skills and decision-making ability with extreme attention to detail.
