About the position

The Coordinator of Records: Commencement and Degree Conferral is responsible for planning, organizing, and maintaining records related to student graduation at Concordia University Irvine. This role involves coordinating commencement ceremonies, monitoring graduation policies, and ensuring the fulfillment of the university's mission and vision through effective management of graduation processes.

Responsibilities

  • Manage the graduation and certificate application process for all students.
  • Create, distribute, and receive applications for graduation and track all undergraduate students completing degree requirements outside of the institution.
  • Audit and award all degrees and certificates for all students except graduate students.
  • Maintain communication with applied students who did not complete all degree requirements.
  • Coordinate activities for all Grad Fests and commencement ceremonies, including logistics and supply orders.
  • Provide relevant student information and proofread the programs for all commencement ceremonies.
  • Provide candidates for Outstanding Graduate, Commencement Responder, Departmental Awards, Latin Honors, and Honors Scholars to the appropriate offices.
  • Assist the Office of the Provost with planning and executing the Academic Achievement Ceremony.
  • Assist the Department of Nursing with planning and executing the Pinning Ceremony.
  • Serve as a member of the Graduation Committee and aid in commencement planning and execution.
  • Communicate with graduation applicants on upcoming events and eligibility via managing the website, sending detailed emails, and answering phone calls.
  • Order graduation-related materials such as diplomas, certificates, and academic regalia.
  • Assist with managing the commencement budget.
  • Work closely with Admissions and Academic Advising personnel on transferability for re-admitted students near degree completion.
  • Oversee department efforts and projects related to increasing student retention and graduation rates.
  • Perform degree audit reports for Financial Aid under special circumstances.
  • Assist with testing upgrades to the degree auditing system.

Requirements

  • A bachelor's degree from a four-year college or university is required.
