About the position

The Coordinator of Special Projects at Harvard Medical School's Department of Global Health and Social Medicine (DGHSM) plays a crucial role in organizing and managing various projects and initiatives aimed at improving global health equity. This position involves overseeing the day-to-day operations of the Paul Farmer Collaborative, planning academic symposia, maintaining the department's website, and disseminating a weekly newsletter. The Coordinator will work closely with faculty and staff to ensure effective collaboration and communication, while also providing administrative and financial support to the executive director.

Responsibilities

  • Maintain and monitor project plans and schedules for special projects.
  • Organize, attend, and participate in stakeholder meetings, facilitating discussions and taking minutes.
  • Ensure smooth processes to drive collaborations with faculty and staff.
  • Document and follow up on important actions and decisions from meetings.
  • Prepare necessary presentation materials for meetings.
  • Create a project management calendar for fulfilling each goal and objective.
  • Serve as the primary point of contact for external needs of special projects.
  • Disseminate the weekly newsletter and manage the department website.
  • Plan and execute symposia and other special events related to special projects.
  • Provide administrative and financial support to the executive director and director of finance.

Requirements

  • 4 or more years of relevant experience, with a Bachelor's degree counting towards experience.
  • Experience in an academic setting working with faculty and students.
  • Excellent organizational and communication skills.
  • Ability to handle confidential and sensitive information.
  • Ability to work independently and collaboratively with others.
  • Ability to manage concurrent projects and multiple priorities.
  • High degree of flexibility and adaptability.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
