About the position

The Coordinator of Team Operations will play a crucial role in supporting the team in various operational areas, including immigration compliance, accounting, travel logistics, and overall team and staff support. This position demands a high level of flexibility, attention to detail, and excellent organizational skills to ensure the smooth functioning of the team's operations. The Coordinator will work closely with legal counsel to secure all necessary documentation for employees to work and travel, ensuring compliance with immigration laws. Additionally, the role involves managing team and employee travel expenses, reconciling monthly expense statements, and processing invoices for payment. In terms of travel logistics, the Coordinator will prepare and verify flight manifests, coordinate bus times, and confirm hotel contracts, food and beverage orders, and rooming lists. They will also develop and distribute daily itineraries, secure practice ice times, and manage department communication platforms. This includes entering schedules, updating contact information, and building out forms needed for employee completion. The Coordinator will collaborate with the Hockey Operations Executive Assistant to maintain effective communication regarding schedules and events with other departments. Office administration is another key aspect of this role, which includes managing office supply requests, updating roster boards, maintaining the department contact list, and ensuring all audio/visual functionality is confirmed in advance of games and practices. The Coordinator will also be responsible for updating locker room messaging boards, maintaining the functionality of various training areas, providing general technology assistance to department employees, and responding to individual employee requests in a timely manner. Confidentiality is paramount in this position, and the Coordinator must maintain a high level of discretion in all matters.

Responsibilities

  • Work closely with legal counsel to ensure all proper documentation is secured for employees to work and travel.
  • Manage team and employee travel expenses, reconcile monthly expense statements, and process invoices for payment.
  • Prepare and verify flight manifests, bus times, and pick up locations.
  • Coordinate and confirm hotel contracts, food and beverage orders, and rooming lists.
  • Develop and distribute daily itineraries and secure practice ice times.
  • Manage department communication platforms, enter schedules, and update contact information.
  • Build out forms needed to be completed by employees and upload group policies.
  • Collaborate with the Hockey Operations Executive Assistant to maintain communication of schedules and events to others outside the department.
  • Manage office supply requests for staff and update roster boards timely.
  • Maintain current department contact list and confirm all A/V functionality in advance of games and practices.
  • Update locker room messaging boards and maintain the functionality of various training areas.
  • Provide general technology assistance to department employees and respond to individual employee requests in a timely fashion.
  • Manage employee device setups and transfers, and perform other duties as assigned.

Requirements

  • Minimum 3+ years administrative and technical support experience.
  • Bachelor's degree required.
  • Proficiency in Office 365.
  • Ability to work evenings, weekends, and holidays.
  • Ability to travel with the team.

Benefits

  • Annual salary between $50,000 - $55,000 with overtime opportunities.
