About the position

The Coordinator, Operations and Administration at Sony Pictures Entertainment is responsible for providing administrative support to the Senior Vice President (SVP) and the Finance team in the Miami office. This role serves as a liaison between the company and various internal and external contacts, facilitating operations and supporting the Finance department with ad hoc projects and analysis. The position requires a proactive individual with a keen interest in the entertainment industry, who is willing to take on diverse responsibilities and contribute to the overall efficiency of the office.

Responsibilities

  • Provide administrative support for the SVP Finance and 3 Finance VPs, including scheduling meetings, maintaining calendars, covering the SVP's phone, arranging travel, and processing expenses.
  • Order and distribute all office and kitchen supplies, receive incoming mail, and sign for deliveries.
  • Handle incoming calls for the general SPT office number and route calls and messages appropriately.
  • Screen and provide services and direction to external visitors, customers, and vendors.
  • Assist with SPE sustainability, safety, and security initiatives, as well as company events.
  • Support the Finance team with ad hoc projects and analysis.
  • Issue Purchase Orders for office supplies, kitchen supplies, and shipping costs.

Requirements

  • Bachelor's degree required.
  • 1+ years of office/business work experience preferred.
  • Proficient in Microsoft Office Programs.
  • Ability to manage confidential information.
  • Strong interpersonal skills with an ability to build effective relationships.
  • Ability to multitask and function effectively in a changing business environment.
  • Self-motivated individual who knows where to find answers to questions.

Nice-to-haves

  • Fully bilingual (Spanish/English) preferred.
  • Track record of success in administrative functions preferred.
  • Experience working with SAP and ARIBA preferred.
