About the position

The Document Control Coordinator is responsible for supporting the project management team in planning and implementing multiple projects within the maritime industry, marine construction, repair, and logistics. This role focuses on managing document control systems, ensuring compliance with regulations, and coordinating project activities to ensure timely and budget-conscious project delivery.

Responsibilities

  • Provide primary support for the document control management system.
  • Ensure compliance with regulations and standards established by regulatory agencies.
  • Aid in the development and maintenance of the document control management system.
  • Maintain the engineering drawings master file, technical file, and vendor catalog file.
  • Coordinate project management activities, resources, equipment, and information for all assigned projects.
  • Work with project stakeholders to identify and define business requirements, scope, and objectives.
  • Assist management with budget preparation, tracking, and controlling costs and expenses.
  • Ensure projects adhere to frameworks and maintain appropriate documentation.
  • Monitor and report project status using established metrics against the project plan.
  • Work with the project team to plan and develop project plans, schedules, and processes.
  • Manage project progress and handle issues as they arise.
  • Oversee project procurement management.
  • Develop, track, and implement controls to manage projects and organizational risk.
  • Coordinate and supervise project activities to ensure projects progress on schedule and within budget parameters.
  • Contribute to the continual enhancement of project management methodology.
  • Confer with project personnel to provide technical advice and resolve problems.

Requirements

  • Bachelor's degree in business, engineering, or a related field; or a combination of post high school education and experience equal to five to eight years.
  • 3 - 5 years of proven work experience as a project coordinator or similar role, preferably in project management from conception to delivery.
  • 3+ years federal contracts experience with medium to large contractors.
  • Advanced proficiency with Microsoft Office products, including Excel, Word, Outlook, and SharePoint.
  • Advanced proficiency utilizing project management software such as Primavera and/or Microsoft Project.

Nice-to-haves

  • Ability to communicate effectively verbally and in writing.
  • Ability to effectively coordinate multiple projects in various stages of completion.
  • Ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Knowledge of the concepts, principles, and practices of project designing, scheduling, cost estimating, planning, inspecting, and resource allocation.
  • Knowledge of the Project Management Institute (PMI) approach to project management.

  • Competitive salary range of $72,000 - $115,200 based on location and experience.
