About the position

HOURGLASS COSMETICS is seeking a Coordinator for Sales Operations who will play a crucial role in supporting various sales operation functions. This position serves as a vital link between the sales, marketing, finance, and operations teams to ensure that all sales-related functions are supported and running efficiently. The Sales Operations Coordinator will be responsible for the day-to-day tactical aspects of the sales operations function, which includes tracking retailer inventory levels, monitoring replenishment order frequency, and ensuring that stores are adequately stocked. The role also involves communicating out-of-stock and back-in-stock information to retailers on a weekly basis, as well as managing new launch allocations and shipment timelines to ensure timely product launches. In addition to these responsibilities, the Coordinator will partner with the Order Management team to address any EDI issues or shipment delays with retailers. They will also process retailers' RTV requests, which includes issuing RAs in Netsuite, gaining leadership approval, and maintaining communication with retailers throughout the process. The Coordinator will track new store openings, logging all pertinent information and keeping the Visual Merchandising team updated with due dates and addresses. Furthermore, they will assist the Finance team in reviewing and contesting chargebacks, and communicate important information such as launch dates, ship dates, discontinuations, and price changes to retail partners. The role may also involve assisting with various projects as assigned. The ideal candidate for this position will be highly strategic, organized, detail-oriented, and possess strong communication skills. They should be adaptable and able to pivot easily to meet changing needs and priorities. A minimum of 2 years of experience in sales and sales operations is required, preferably within the beauty industry, along with a Bachelor's degree in business or a related field. Proficiency in basic Excel functionality is necessary, and experience with PowerBI and/or NetSuite is a plus. The candidate should thrive on problem-solving and be able to implement creative solutions while maintaining a high level of organization and attention to detail.

Responsibilities

  • Support in the day-to-day tactical aspects of the sales operations function.
  • Track retailer inventory levels, monitoring replenishment order frequency, WOS On-Hand, and Store In-stocks.
  • Communicate out-of-stock and back-in-stock information to retailers weekly.
  • Communicate new launch allocations and shipment timelines to retailers; monitor orders to ensure on-time launch.
  • Partner with Order Management team to address any EDI issues, shipment delays, etc., with retailers.
  • Process retailers RTV requests: issuing RAs in Netsuite, gaining leadership approval, and communicating with retailers throughout the process.
  • Track new store openings: log all pertinent information, keep VM team up-to-date with due dates, addresses, etc.

Requirements

  • Minimum 2 years of experience within sales and sales operations; beauty industry experience preferred but not required.
  • Bachelor's degree in business or related field.
  • Proficient in basic Excel functionality; PowerBI, and/or NetSuite experience is a plus.
  • Thrive on solving problems and looking at implementing creative solutions.
  • Must be highly organized and have strong attention to detail.
  • Analytical, with experience tracking and reporting.
  • Adaptable, resourceful and forward thinking.
  • Creative, positive and high-energy individual with an ability to execute.
  • Must be able to work from Corporate Office at least 60% of the time.

Nice-to-haves

  • Experience in the beauty industry is preferred but not required.
  • Experience with PowerBI and/or NetSuite is a plus.
