About the position

The Coordinator of Wastewater Operations at Aquarion Water Company provides essential administrative and business support to the Wastewater Operations Department. This role involves assisting the Manager of Wastewater Operations and other staff with various tasks, including managing agreements, processing invoices, and maintaining records. The position is crucial for ensuring smooth operations and compliance with regulatory requirements while promoting sustainable practices within the community.

Responsibilities

  • Assist the Manager of Wastewater Operations and other operations staff with general administrative work, purchase orders, processing invoices, vendor management, coordination, scheduling, and time sheets.
  • Review and update Business Continuity Plan, Staffing Emergency Response Plan, Department Organizational Chart, and other related documents semi-annually and when staffing changes occur.
  • Work with staff, IT, and Corporate Communications to ensure current content on Capital Delivery Projects, Permitting Status, Training, and other office-related activities.
  • Manage Master Services Agreements (MSA) and Task Order Agreements, ensuring all documents are current and properly filed.
  • Prepare purchase requisitions for projects and process goods receipts, accruals, and invoices as requested.
  • Assist operations staff with regulatory filings and maintain records for operations, ensuring proper filing and organization of documents.
  • Coordinate with community officials to provide information on projects or issues as needed.
  • Track approved invoices monthly versus purchase orders, budgets, and PMC approvals using BobJ and SAP.
  • Coordinate implementation of JSAs and JSO's with Safety Manager and Department Staff, reporting results at monthly meetings.
  • Participate in department meetings, maintain meeting minutes, and coordinate training and meetings for the Department.

Requirements

  • Minimum 3 years in an administrative position.
  • Excellent customer service skills.
  • Good written and oral communication skills.
  • Detail-oriented with excellent organization skills.
  • High competency in Excel, Word, Outlook, PowerPoint, SAP, and BobJ.
  • Ability to complete tasks with minimal supervision and be self-motivated.
  • Ability to analyze problems and take appropriate corrective action.
  • Ability to manage multiple tasks simultaneously and set priorities.
