About the position

We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative functions. This role is essential in ensuring the smooth operation of our office, providing excellent service to both internal and external stakeholders.

Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately.
  • Handle incoming phone calls and emails, providing information and assistance as needed.
  • Perform data entry tasks, ensuring accuracy and confidentiality of sensitive information.
  • Maintain organized filing systems for both physical and digital documents.
  • Assist with scheduling appointments and managing calendars for team members.
  • Proofread documents for accuracy and clarity before distribution.
  • Support financial operations by utilizing QuickBooks for invoicing and record-keeping.
  • Collaborate with medical or dental staff as needed, acting as a liaison between patients and healthcare providers.
  • Utilize Google Suite for document creation, spreadsheet management, and presentation preparation.

Requirements

  • Previous experience as an Administrative Assistant or in a similar role is preferred.
  • Familiarity with front desk operations in a medical or dental setting is a plus.
  • Proficiency in Google Suite applications is required; experience with QuickBooks is advantageous.
  • Strong typing skills with attention to detail are essential for data entry tasks.
  • Experience handling phone systems effectively to manage communications efficiently.

Nice-to-haves

  • Bilingual in Spanish and English is a plus.
