About the position

The Corporate Bookkeeper is a key professional role within a not-for-profit organization, responsible for overseeing daily bookkeeping and payroll functions, ensuring compliance with accounting standards and internal policies. This position plays a crucial role in budget performance monitoring and financial reporting, directly reporting to the CEO.

Responsibilities

  • Maintain and ensure the accuracy and completeness of the corporate financial database and automated record systems.
  • Function in accordance with established financial policies, standards, procedures, and applicable laws.
  • Review bookkeeping and reporting methods for compliance periodically.
  • Process accounts payable and receivable invoices, including investigations when necessary.
  • Compile, enter, and electronically post all contributions, receipts, and financial transactions.
  • Prepare payments by verifying documentation and generating check disbursements.
  • Process payroll in a timely manner and generate 1099's for contractors.
  • Maintain and establish the chart of accounts.
  • Reconcile financial discrepancies by collecting and analyzing account information.
  • Prepare petty cash, credit card accounts, loans, notes, and bank reconciliations in a timely manner.
  • Organize and maintain manual financial records.
  • Assist in the preparation and maintenance of annual budgets, calculating variances and reporting issues to senior management.
  • Prepare financial statements and reports for senior management, including income and expense statements and balance sheets.
  • Assemble financial information for external accountants, auditors, or agencies as directed.
  • Prepare and recommend guidelines for efficient financial system management.
  • Communicate with clients, suppliers, and vendors both verbally and in writing.
  • Provide clerical and administrative support as required.
  • Secure financial information by completing database backups regularly.
  • Maintain professional knowledge through workshops and publications.
  • Identify opportunities to control costs and increase revenue.
  • Maintain confidentiality of financial information.
  • Perform other duties and special projects as assigned.

  • Excellent verbal and written communication skills in English.
  • Ability to maintain confidentiality of business matters.
  • Excellent interpersonal and customer service skills.
  • Ability to work independently and make decisions per established policies.
  • Effective scheduling and monitoring skills.
  • Proficient in accounting and office management software, including Microsoft Excel, Word, PowerPoint.
  • Familiarity with QuickBooks, Quicken, or Powerchurch software is desirable.

Nice-to-haves

  • Experience with QuickBooks or similar accounting software.
  • Notary Public certification.
