About the position

The Executive Assistant at Eataly plays a crucial role in supporting the Chief Executive Officer (CEO) by providing comprehensive administrative and operational assistance. This position requires a high level of discretion and accountability, as the Executive Assistant will manage the CEO's daily work routine and act as a key member of the team, fostering collaboration and accountability. The Executive Assistant will maintain a close working relationship with the CEO, ensuring that all tasks align with the priorities of Eataly and the CEO's goals. This includes managing the CEO's calendar, scheduling meetings, and coordinating both domestic and international travel arrangements. In addition to calendar management, the Executive Assistant will be responsible for completing various special projects that may involve cross-departmental collaboration, creating presentations, financial spreadsheets, and special reports. The role also includes serving as a liaison between the CEO and various stakeholders, including the Executive team, employees, international partners, and the public. This involves receiving and screening calls, answering inquiries with tact, and directing calls appropriately. The Executive Assistant will also assist in meeting preparation, including conducting background research and tracking action items and projects. The position requires a proactive approach to planning and orchestrating work to meet the CEO's priorities, as well as the ability to adapt to changing operational conditions. The Executive Assistant will also support the domestic and international leadership teams with scheduling and other duties as assigned, ensuring smooth operations within the organization. Overall, this role is integral to the success of the CEO and Eataly, requiring a blend of organizational skills, communication abilities, and a positive attitude.

Responsibilities

  • Provide administrative and operational support to the CEO.
  • Manage the CEO's calendar, including scheduling meetings and appointments.
  • Coordinate domestic and international travel arrangements for the CEO and other team members.
  • Serve as a liaison between the CEO and various stakeholders, including the Executive team and international partners.
  • Complete special projects, including creating presentations and financial spreadsheets.
  • Attend meetings, take notes, and prepare initial drafts of minutes and summaries.
  • Assist the CEO in meeting preparation, including background research and collaboration with key team members.
  • Track action items and projects for accountability and follow-up.
  • Plan events and manage logistics for daily and intermittent needs as assigned by the CEO.
  • Support domestic and international leadership teams with scheduling and collaboration.

Requirements

  • Extensive previous office or administrative experience in a similar role.
  • Experience managing effective communication with senior level management.
  • Prior experience managing and booking international and domestic travel for multiple leaders.
  • Ability to build relationships with team members at all levels of the organization.
  • Effective interpersonal and communication skills, organization, planning, and prioritization skills.
  • Excellent time-management skills and a proven track record of managing multiple complex calendars and projects.
  • High attention to detail and strong execution skills.
  • Analytical problem-solving skills and a data-driven mindset.
  • Proficient in Microsoft Office Suite, with strong Excel skills.
