About the position

The Corporate Legal Assistant (Documentations Worker) at V R Della IT Services Private Limited is a critical role focused on maintaining a comprehensive portfolio of licenses necessary for the company's operations across various states. This position requires a licensing specialist with strong expertise in federal regulations and documentation, ensuring that over 200 licenses are managed without any lapses. The role involves a deep understanding of the regulatory landscape, as the company operates in states where it has distilleries and breweries, as well as in states where it acts as an out-of-state supplier. Each state has its own licensing schedule, and the specialist must keep track of these timelines diligently. In addition to managing licenses, the Corporate Legal Assistant will also be responsible for maintaining bonds and trade names in the respective states, ensuring that corporate officer information is updated as necessary. This position serves as the primary contact for licensing communications, liaising with both legal and regulatory teams, and forwarding any relevant tax or other communications from the states to the appropriate personnel. It is preferred that the candidate becomes a notary in their state of residence after assuming the role, although this is not a requirement at the time of hire. The role emphasizes the establishment of best practices for licensing renewal schedules and handling changes in state laws that may impact licensing. The specialist will provide technical support to ensure compliance with state regulations, requiring a comfort level with reading and interpreting both state and federal regulations. Maintaining audit-ready principles through accurate record-keeping is essential, as is the ability to interact effectively with government officials and key internal stakeholders. The position is based in Plainfield, IL, Stamford, CT, or New York, NY, and reports directly to the State Beverage Compliance Manager in Plainfield, IL. This role does not involve any direct reports and does not require travel.

Responsibilities

  • Maintain a large portfolio of licenses (200+) without lapse.
  • Ensure compliance with state regulations on licensing.
  • Maintain bonds and trade names in various states.
  • Keep corporate officer information up to date when changes occur.

Requirements

  • Strong experience in licensing and documentation.
  • Expertise in federal regulations and compliance.

  • Experience with alcohol beverage licensing.
  • Excellent communication skills for interacting with government officials and internal stakeholders.
