About the position

Greenbrook TMS is seeking a full-time Legal Assistant/Paralegal who will provide legal and administrative support to the Vice President of Legal and Compliance, as well as other members of the executive management team. This position is a remote/hybrid role for candidates located in Central Florida, ideally in the Oviedo, Lake Baldwin, Lake Mary, or Kissimmee areas. The Legal Assistant/Paralegal will be responsible for a variety of tasks that are essential to the smooth operation of the legal department. The primary duties include drafting, proofreading, and updating legal documents and correspondence, such as contracts and lease agreements. The role also involves assisting with research on regulations, laws, and legal articles to prepare reports and case files. The Legal Assistant/Paralegal will be responsible for organizing and managing departmental documents and files, ensuring effective record-keeping and compliance with audit controls. Additionally, the position requires processing incoming corporate mail and utilizing various programs to collect and review data for presentations and regulatory reporting. The successful candidate will provide general legal and administrative assistance, including meeting planning, taking meeting minutes, schedule management, and travel coordination. They will also support HIPAA and patient privacy-related corporate projects, maintaining confidentiality and adhering to all applicable compliance requirements. This role is crucial in ensuring that the legal department operates efficiently and effectively, contributing to the overall success of Greenbrook TMS.

Responsibilities

  • Draft, proofread, and update legal documents and correspondence including contracts and lease agreements.
  • Assist with researching regulations, laws, legal articles, and other precedents for the preparation of reports and case files.
  • Obtain, examine, and categorize discovery and other materials for appropriate case and policy preparation.
  • Organize and manage departmental documents and files in paper and electronic filing systems to ensure effective record-keeping and audit controls.
  • Receive and process incoming corporate mail, forwarding all correspondence to the appropriate department and recipient(s) in a timely manner.
  • Utilize various programs and resources to collect, extrapolate, and review data for presentations and required regulatory reporting.
  • Provide general legal and administrative assistance including meeting planning, taking meeting minutes, schedule management, travel coordination, and other assigned reporting and data analysis projects.
  • Support HIPAA and patient privacy related corporate projects, including the coordination of walkthroughs, the development of training as needed, and the tracking and trending of data.
  • Maintain appropriate confidentiality with respect to all privileged business matters and information.
  • Adhere to and uphold all applicable federal and state compliance requirements, the Greenbrook TMS Code of Conduct, the Greenbrook TMS HR Manual, policies and procedures, and applicable healthcare fraud, waste, and abuse laws.

Requirements

  • At least three years of work experience as a paralegal under the direct supervision of an attorney, OR
  • At least five years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal, OR
  • Graduation from an American Bar Association (ABA) approved program or a program of equivalent rigor, with national certification from a program recognized by the Florida Alliance of Paralegal Associations and one year of work experience as a paralegal, OR
  • Completion of a bachelor's degree in any field with either at least 24 semester hours of paralegal studies courses and one year of work experience as a paralegal, OR
  • Completion of an associate degree that includes a minimum of 60 semester credit hours with at least 24 of those in paralegal coursework and two years of work experience as a paralegal.
  • Understanding of legal language and principles, research methods, contracts, and other related matters.
  • Highly proficient technical skills including but not limited to Microsoft Office applications (specifically Word, PowerPoint, Outlook, and Excel).
  • Knowledge of healthcare landscape and publicly traded corporate structure preferred but not required.
  • Authorization to work in the United States without requiring authorization sponsorship by the company for this position now or in the future.
  • A satisfactory background check inclusive of driving records, criminal records, employment references, education, Social Security and OIG/GSA exclusions.
