About the position

We are seeking an experienced Corporate Legal Secretary to join our Corporate team in our Downtown San Diego office. This position is hybrid, allowing for up to two days of work-from-home flexibility. The ideal candidate will have a strong background in legal administrative support, particularly within corporate law, and will be responsible for a variety of tasks that support the efficiency and productivity of our legal team. In this role, you will be tasked with drafting agendas, assembling meeting materials, and creating presentations for both client and internal meetings. You will need to identify and accommodate client-specific preferences and key personnel to ensure alignment with client expectations. Additionally, you will organize binders of finalized transactions and file necessary documents with the appropriate authorities. Handling conflict inquiries, initiating new matters, and drafting Engagement Agreements and Conflict Waiver letters will also be part of your responsibilities. You will coordinate and schedule conference calls and meetings, managing client interactions effectively. Supporting attorneys in improving practice efficiency and overall productivity is a key aspect of this role, requiring strong attention to detail, sound judgment, and critical thinking skills. The position is based in our downtown San Diego office, and we are looking for someone who can handle a high volume of work efficiently while maintaining outstanding professional communication skills.

Responsibilities

  • Drafting agendas, assembling meeting materials, and creating presentations for both client and internal meetings.
  • Identifying and accommodating client-specific preferences and key personnel to align with client expectations.
  • Organizing binders of finalized transactions and filing necessary documents with the appropriate authorities.
  • Handling conflict inquiries, initiating new matters, and drafting Engagement Agreements and Conflict Waiver letters.
  • Coordinating and scheduling conference calls and meetings, including managing client interactions.
  • Supporting attorneys in improving practice efficiency and overall productivity.

Requirements

  • 10+ years of Legal Secretary/Administrative support experience.
  • 5+ years of corporate law experience, including M&A, Corporate Law, and Corporate Governance.
  • Strong attention to detail, sound judgment, and critical thinking skills.
  • High level of ingenuity to assess issues, identify alternatives, and recommend solutions.
  • Proficiency in MS Office and excellent word processing skills.
  • Outstanding professional written and verbal communication skills.
  • Paralegal Certificate from an ABA-approved program is a plus.
  • Ability to handle a high volume of work efficiently.
