About the position

The Contract Administrator at Oak View Group plays a crucial role in supporting attorneys and ensuring a high level of client service. This position involves a variety of tasks including document processing and editing, drafting various agreements, and preparing financial transaction documents. The Contract Administrator will handle a high volume of new business intake and respond to internal and external inquiries via phone and email. Additionally, the role requires arranging meetings and conferences for internal groups and business development activities, coordinating calendars, and monitoring incoming mail, faxes, and emails. Maintaining and updating client files is also a key responsibility, along with other administrative tasks as needed. This position is integral to the operations of Oak View Group, a leader in venue development and management within the sports and entertainment industry. The Contract Administrator will be expected to draft, edit, redline, apply style schemes, proofread documents as requested, and prepare them for signature. Maintaining files for contracts and administering the records retention policy are essential functions of this role. The administrator will also be responsible for maintaining spreadsheets and reports to facilitate the administration of the contract renewal process and tracking documents from drafting to execution. An organized and accurate system for facilitating the preparation, negotiation, distribution, signature, filing, and retention of agreements is vital for success in this position.

Responsibilities

  • Draft, edit, redline, apply style schemes, proofread documents as requested and prepare for signature
  • Maintain files for contracts

Requirements

  • Good working knowledge of Adobe, Microsoft Word, Outlook, PowerPoint, and Excel
  • Minimum 2-5 years working in the legal field
  • Strong analytical and organizational/tracking skills
  • Strong proofreading skills
  • High level of integrity, discretion, and professionalism in dealing with senior professionals inside and outside the company
  • Possess a client-service oriented mentality
  • Detail-oriented with the ability to independently prioritize work and handle multiple tasks with set deadlines
  • Ability to complete a high volume of tasks and projects quickly with little guidance and switch gears as needed
  • Desire and aptitude for learning new concepts on the job
