About the position

The Corporate Paralegal at Godfrey & Kahn, S.C. plays a crucial role in supporting attorneys by managing a high volume of time-sensitive communications and administrative tasks. This position requires strong organizational skills and the ability to work independently while maintaining professionalism in client interactions. The paralegal will assist in various legal processes, including document preparation, client outreach, and managing attorney schedules, ensuring that all tasks are completed accurately and efficiently.

Responsibilities

  • Lead the management and administration of a large volume of time-sensitive communications
  • Maintain attorney business development contact lists through the firm's CRM
  • Consistently and professionally communicate through internal and external calls and emails, building relationships with clients
  • Perform administrative tasks independently
  • Prepare, edit, and finalize correspondence, legal documents, transcription, memos and other materials
  • Proofread all materials for typographical errors, office style conformity, accuracy and inclusion of required information and enclosures
  • Schedule and manage internal and external meetings and calendars, including working with the receptionist team to reserve meeting rooms and ensure meeting needs, such as refreshments and meals, are available as needed
  • Assist with continuous client outreach, contact, relationship building and marketing activities
  • Facilitate incoming and outgoing mail
  • Assist with the management of attorney checklists and due diligence
  • Compile and prepare closing transaction document books
  • Manage attorney expenses and check requests
  • Timely filing and maintenance of paper and electronic documents and records
  • Assist in preparing, reviewing and finalizing client invoices
  • Coordinate travel arrangements as needed
  • Monitor and report timekeepers' CLE credits
  • Act as back-up for other Legal Executive Assistants as needed
  • Manage attorney board and other pro bono work
  • Perform all other duties as assigned

Requirements

  • Bachelor's degree or equivalent experience preferred
  • Legal Assistant experience in commercial real estate strongly preferred
  • Excellent organization, time-management and prioritization skills
  • Proficiency in Microsoft Office Suite, Work10, Adobe Pro
  • Strong ability to manage a wide variety of work streams simultaneously with accuracy and speed
  • Demonstrate a positive attitude, high energy and a strong passion for your work
  • Be a flexible team player by cooperating and collaborating with others to achieve timekeeper and firm goals and objectives
