About the position

The Payroll Accounting Specialist at Protection Strategies Inc. (PSI) plays a crucial role in managing and overseeing all payroll processing activities. This position requires a thorough understanding of compliance with local, state, and federal regulations, as well as the ability to interface effectively with external payroll providers. The specialist will be responsible for payroll reporting and ensuring that all payroll processes are executed accurately and efficiently. In addition to payroll processing, the Payroll Accounting Specialist will specialize in system configuration for time and expense reporting data. This includes handling final check processing for terminated employees, managing supplemental and off-cycle check processing, and overseeing leave accruals. The role also involves performing various special projects as assigned, which may require analytical skills and attention to detail. Furthermore, the Payroll Accounting Specialist will oversee the Accounts Payable process, which includes recording and paying all invoices received and processing employee expense reports. This dual responsibility ensures that both payroll and accounts payable functions are aligned and managed effectively, contributing to the overall financial health of the organization.

Responsibilities

  • Monitor, analyze, and control all payroll processing activity.
  • Ensure compliance with local, state, and federal payroll regulations.
  • Interface with external payroll providers and manage payroll reporting.
  • Specialize in system configuration for time and expense reporting data.
  • Process final checks for terminated employees and manage supplemental and off-cycle check processing.
  • Calculate and post leave accruals and perform various special projects as assigned.
  • Oversee the Accounts Payable process, including recording and paying invoices and processing expense reports.
  • Collect and manage timesheets, ensuring accuracy and soliciting corrections as needed.
  • Import timesheets into Costpoint and process payroll under supervision of the Accounting Manager.
  • Set up new employees in the time management system and assist with initial login and approvals.
  • Manage PAR tracking and monitor incentives for repayment by terminated employees.
  • Process zero payroll tax returns for states not covered by GovCon Pay.
  • Conduct insurance reconciliations and provide audit support as needed.
  • Assist with any reports requiring payroll data and track all invoices received.

Requirements

  • Basic understanding of full-cycle accounting with emphasis on Accounts Payable and Payroll.
  • Working knowledge of multi-state payroll is strongly preferred.
  • Associate degree or higher or equivalent experience in accounting or finance.
  • Strong Excel and Office 365 skills, with the ability to create documentation of processes.
  • Knowledge of government contract accounting and familiarity with Costpoint and iSolved software is a plus.

Nice-to-haves

  • Experience with government contract accounting is preferred.
  • Familiarity with payroll processing software and systems.
