The Payroll Specialist is responsible for the administration of the payroll function, performing duties in alignment with established corporate and internal standard operating policies and procedures, and ensuring compliance with Federal, State, and local wage and hour, payroll, and tax laws. This role involves confidential duties in auditing, entering, and reviewing data, as well as processing bi-weekly and special payrolls. The position requires great attention to detail and the highest level of accuracy, along with the ability to meet tight deadlines. The Payroll Specialist ensures that monthly, quarterly, and yearly payroll-related reporting requirements to state and government agencies are executed properly and timely. The primary responsibilities include processing payroll bi-weekly and off-cycle as required, incorporating all data from employee timecards, voluntary and involuntary deductions including employee benefits, Employee Retirement Savings Plan, fringe benefits, and mandatory deductions. The Payroll Specialist must ensure payroll is processed accurately by required deadlines, reviewing all payroll data prior to submission and immediately following submission to ensure it is processed properly. Collaboration with Human Resources is essential to maintain the Paylocity employee database and process information accurately and timely, ensuring the accuracy of employee pay rates, PTO accrual rates, and employee reporting structure. The role also involves processing all types of garnishments and deductions in a timely manner, requiring extensive knowledge of garnishments and the state laws pertaining to them. Additionally, the Payroll Specialist will research and prepare ad hoc reports for management and Human Resources, review employee timecards for accuracy, and communicate with both Corporate and Casino employees regarding payroll-related issues.

Responsibilities

  • Processes payroll bi-weekly and off-cycle as required by incorporating all data from employee timecards, voluntary and involuntary deductions including employee benefits, Employee Retirement Savings Plan, fringe benefits, Federal, State, and local mandatory deductions.
  • Ensures payroll is processed accurately by required deadlines; reviews all payroll data prior to submission and immediately following the submission to ensure it is processed properly.
  • Collaborates with Human Resources to maintain Paylocity employee database and process information accurately and timely; assigns and classifies employees appropriately; ensures the accuracy of employee pay rates, PTO accrual rates, and employee reporting structure.
  • Processes all types of garnishments and deductions in a timely manner, requiring extensive knowledge in all types of garnishments and the state laws pertaining to garnishment payments and processing.
  • Researches and prepares ad hoc reports for management and Human Resources.
  • Reviews employee timecards: ensures accuracy, completeness, and supervisory approval, including regular hours, overtime hours, and non-worked time including PTO are entered and calculated correctly.
  • Provides all necessary information for both internal and external audits.
  • Communicates with both Corporate and Casino employees by phone and through emails.
  • Identifies payroll related issues and recommends ongoing process improvements and procedures for compliance with payroll deductions and reporting requirements.
  • Assists field staff on the payroll process and procedures, timelines and auditing timesheet reports prior to submitting.
  • Leverages Paylocity reporting capability for standard and customized reports and develops automated management reports.
  • Communicates regularly with 401k administrator to ensure accuracy of deduction amounts, loan totals and contribution limits; ensures accuracy of quarterly and annual reports.
  • Develops and performs special projects as necessary for continuous improvement and operational excellence, and others as directed.

Requirements

  • Associate degree in Business, Accounting or related field preferred.
  • 1 year experience processing payroll in a multi-company environment; or an equivalent amount of education and experience.
  • Strong computer skills and literacy with Microsoft Word and Excel.
  • Proficient use of Excel.
  • Excellent oral, written, and interpersonal communication skills.
  • Knowledge of payroll principles and practices in order to be an effective resource for others.
  • Knowledge of local, state and federal laws and regulations.
  • Ability to maintain strict confidentiality of classified information.
  • Perform job functions with attention to detail, speed and accuracy.
  • Planning/organizing skills to prioritize and plan work activities, using time efficiently and developing realistic action plans.
  • Knowledge of general ledger posting process and experience preparing and posting journal entries.
  • Problem-solving skills to identify and resolve problems in a timely manner and gather and analyze information skillfully.
  • Excellent organizational and time management skills required.
