About the position

As part of the EssilorLuxottica North America Payroll Team, the Payroll Specialist plays a crucial role in processing payroll in a high-volume Multi EIN and Multi-State environment for North America. This position is responsible for ensuring accurate and timely payrolls for over 40,000 employees, adhering to federal and state wage and hour laws. The Payroll Specialist will handle various payroll processing tasks, including auditing, issue resolution, and reconciliations, while maintaining strict confidentiality of sensitive information at all times. The role involves processing payroll for weekly, bi-weekly, and monthly disbursements, which includes managing new hires, short-term disability, wage assignments, relocations, expatriate compensation, additional pays, bonuses, commissions, direct deposits, and final pay for terminations. The Payroll Specialist will also ensure that the automated timekeeping hours file is processed and balanced, calculate and create out-of-sequence pay entries for corrections, and manage tax and general ledger processes for accurate reporting to ADP and Accounting. In addition to payroll processing, the Payroll Specialist will frequently interact with various departments, assist with payroll, tax, and benefit reconciliations and audits, and create and track service requests with third-party payroll providers. The role requires addressing incoming inquiries from the ticketing system, internal employees, stakeholders, or regulatory agencies, and escalating issues as necessary. The Payroll Specialist will also support the training needs of incoming payroll staff and stay informed of all payroll and HR policies and procedures, ensuring compliance with applicable laws and regulations. Excellent customer service is a key component of this role, as the Payroll Specialist will provide support to employees and coworkers alike.

Responsibilities

  • Process, balance, and transmit payrolls to and from ADP payroll for weekly, bi-weekly, and monthly disbursement of multi-state and multi-country payroll for over 40,000 employees.
  • Handle payroll processing tasks including new hires, STD, wage assignments, relocations, expatriate compensation, additional pays, bonuses, commissions, direct deposits, and terminations.
  • Ensure automated timekeeping hours file is processed and balanced.
  • Calculate and create out-of-sequence pay entries for corrections.
  • Manage tax and GL processes for accurate reporting to ADP and Accounting, troubleshooting errors for resolution.
  • Interact frequently with various departments to resolve payroll-related issues.
  • Assist with payroll, tax, and benefit reconciliations and audits.
  • Create, track, and resolve service requests with third-party payroll providers.
  • Support direct training needs for incoming payroll staff.
  • Identify critical pay incoming tickets to determine the need for On Demand paycards/checks and process emergency pays.
  • Address incoming inquiries from the ticketing system, internal employees, stakeholders, or regulatory agencies and escalate as necessary.
  • Stay informed of all payroll and HR policies and procedures, adhering to applicable laws, rules, and regulations.
  • Run employee pay detail reports as needed for HR, Legal, and Compliance requests.
  • Provide excellent customer service to employees and coworkers.
  • Perform general clerical duties related to payroll.

Requirements

  • Associates degree in Human Resources or equivalent combination of education and experience required.
  • 3+ years of payroll experience required.
  • Experience with ADP's GlobalView, ADP reporting, or equivalent.
  • Previous experience with reporting, data analysis, or payroll reconciliations.
  • Solid understanding of payroll effects on payroll tax and accounting.
  • Ability to create and modify reports using GlobalView reports.
  • Multi-state payroll processing experience in a fast-paced/large volume environment.
  • Proficiency using Microsoft Excel and Word at an advanced level.
  • Self-motivated, resourceful, and takes initiative with strong attention to detail.
