About the position

As part of the EssilorLuxottica HR Payroll Team, the Payroll Supervisor plays a crucial role in leading payroll processes for North America. This position is responsible for overseeing a team of payroll specialists and ensuring the execution and accuracy of multi-state payroll, which includes managing garnishments, benefits, and taxes in compliance with federal and state wage and hour laws. The Payroll Supervisor is expected to provide exceptional customer service and problem resolution while maintaining strict confidentiality of sensitive information at all times. The Payroll Supervisor will manage various payroll activities, including file preparation and loading, start pay execution, post payroll processing, payroll tax balancing, and pre/post payroll reporting. This role requires frequent interaction with various internal departments such as Benefits, Compensation, HR Business Partners, Legal, Compliance, Store Operations, Accounting, and IT, as well as external vendors. The supervisor must maintain and secure confidential records and inquiries, ensuring adherence to all payroll and Human Resource policies and procedures, including a comprehensive understanding of various Paid Time Off (PTO), Sick, and Holiday plans to ensure accuracy of accruals and payments. In addition to managing payroll processes, the Payroll Supervisor will support Manager and Associate self-service to ensure data integrity through ongoing audits. This role involves leading the continuous review of employee payroll data, researching and correcting discoverable errors, and addressing inquiries from internal employees, stakeholders, or regulatory agencies regarding payroll issues. The supervisor will also set up standard reports for automatic distribution and create ad hoc reports as needed for legal, compliance, tax, and other business partners. Furthermore, the Payroll Supervisor will participate in system testing of upgrade products and conversions, ensuring the timely processing of Year-end W-2s in collaboration with IT personnel and outside W-2 vendors.

Responsibilities

  • Manage the execution and accuracy of multi-state payroll, including garnishments, benefits, and taxes consistent with federal and state wage and hour laws.
  • Supervise and develop a team of payroll specialists.
  • Lead execution of payroll activities, including file preparation and loading, start pay execution, post payroll processing, payroll tax balancing, and Pre/Post Payroll reporting.
  • Interact frequently with various departments internally (Benefits, Compensation, HRBP, Legal, Compliance, Store Operations, Accounting, and IT) and with external vendors.
  • Maintain and secure confidential records and inquiries.
  • Follow and maintain knowledge of all payroll and Human Resource policies and procedures, including understanding various PTO, Sick, and Holiday plans to ensure accuracy of accruals and payments.
  • Adhere to applicable state, local, and federal laws, rules, and regulations.
  • Support Manager and Associate self-service to ensure data integrity through ongoing audits.
  • Lead the continuous review of employee payroll data information and research and correct/adjust discoverable errors.
  • Address inquiries from internal employees, stakeholders, or regulatory agencies regarding payroll issues.
  • Set up standard reports to run automatically for distribution and create ad hoc reports as needed for legal, compliance, tax, and other business partners.
  • Process, test, and report Year-end W-2s, working with IT personnel and outside W-2 vendor to ensure timely file generation, printing, and mailing of W-2s.
  • Participate in system testing of upgrade products and conversion.

Requirements

  • Associate's degree or equivalent experience
  • 5+ years payroll experience
  • Previous experience with reporting, data analysis or payroll
  • Previous experience with ADP Globalview
  • Multi-state payroll processing experience
  • Proficiency using Microsoft Excel and Word
  • Trustworthiness with confidential information
  • Positive attitude and a team player
  • Strong active listening skills
  • Excellent teamwork, verbal and written communication skills
  • Ability to work effectively with all levels of management, staff, customers, and vendors
  • Previous experience with reporting, data analysis or auditing required.
