About the position

The Site Administrator serves as the primary on-site contact for facility system inquiries and repairs at IC Solutions, a subsidiary of TKC Holdings Inc. This position is crucial in ensuring the smooth operation of inmate communication systems within a jail or prison environment. The Site Administrator is responsible for repairing or replacing broken telephone sets and providing a weekly update on the phone system status, repairs made, and any open items. This role requires a strong understanding of basic telephony and networking to troubleshoot and replace various components such as handsets, hook switches, keypads, and entire units. In addition to communication equipment repairs, the Site Administrator will manage the deployment of tablets and handle requests for replacement tablets through a Return Merchandise Authorization (RMA) process. They will also provide administrative assistance for inmate communications software, which includes changing PINS or passcodes as requested by staff, running reports, and downloading data for subpoena responses and investigations. Keeping an inventory of necessary replacement parts and items using a ticketing system is also a key responsibility, along with recording and tracking tablets that are out for repair, approving photos and videos, and researching tablet issues and inquiries. Network maintenance is another critical aspect of this role, which involves rebooting servers and switches, reporting access points that are offline, and replacing uninterruptible power supply (UPS) batteries. The Site Administrator will be expected to provide weekly statistics and reports to both the customer and management, ensuring that all operations are documented and communicated effectively.

Responsibilities

  • Provide exceptional customer service to the inmate facility staff while working onsite Monday to Friday.
  • Troubleshoot and replace handsets, hook switches, keypads, and perform whole unit replacements as needed.
  • Deploy tablets and request replacement tablets through an RMA process.
  • Provide administrative assistance for inmate communications software, including changing PINS or passcodes, running reports, and downloading data for investigations.
  • Keep an inventory of necessary replacement parts and items using a ticketing system.
  • Record and track tablets that are out for repair, approve photos and videos, and research tablet issues and inquiries.

  • Provide weekly statistics and reports to customers and management.

Requirements

  • High school diploma or general education degree (GED) or equivalent combination of education and experience.
  • Customer service experience is required.
  • 3 or more years of demonstrated skills in a high-tech environment, emphasizing skills in computer hardware maintenance, software management, and networking.
  • Proficiency in Microsoft Office 365 (Teams, Excel, Word, Outlook) is required.
  • Experience working inside a jail or prison environment is mandatory.
  • Ability to work independently and maintain security clearance at the assigned facility.
