About the position

Serving in a Court Assistant II role, you will be working with Probation and Pretrial Case Managers to provide data entry, file management, document processing, and customer service support for clients. These duties may include data entry, document review, and communicating with internal and external agencies. A Court Assistant II ensures that departmental goals, views, and positions are served, as well as supports a healthy foundation for workplace culture. Responsibilities

  • Provide customer service to Probation Service' clients.
  • File management and generation of new electronic case files.
  • Reviewing agency documents and case file and accurately updating the case management systems.
  • Review court and agency documentation and perform data entry, ensuring accurate information input.
  • Convey detailed information to clients, agencies, court representatives and others regarding programs, requirements, client status.
  • Investigate and seek resolution to a variety of program and client problems and complaints.
  • Utilize computer equipment and databases to enter and retrieve data, maintain files and perform word processing.
  • Perform related duties as assigned.
  • Operate standard office equipment.

Requirements

  • Two years of clerical word processing, typing work experience which includes at least one year of work directly related to the work of the class; or One year (45 credit hours) of post-secondary business legal or office occupational training or education may be substituted for one year of required experience.
  • Knowledge of modern office practices; business English, grammar, spelling and punctuation; the operation of Court and court processing activity.
  • Ability to work independently in a high pressure environment; follow, understand and apply prescribed procedures, policies, laws and regulations to the legal processing activities of the Court systems; express ideas clearly and concisely both orally and in writing; operate standard office equipment including word processors computer terminals, adding machines, calculators, copiers and transcribers; sit or stand both for long periods of time while performing routine and repetitive functions; to establish and maintain effective working relationships with co-workers, supervisors, other agencies and the general public.
