About the position

The Court Operations Associate (Civil/Family Clerk) position at the Oregon Judicial Department involves filing and processing civil and family cases, providing essential support to the court system. This role requires interaction with the public and various stakeholders, ensuring accurate documentation and customer service in a high-stress environment. The position is crucial for maintaining the flow of court operations and assisting individuals navigating the judicial process.

Responsibilities

  • File and process civil and family cases from opening through post-judgment activities.
  • Enter documents into the case register and update case information.
  • Prepare and certify copies of documents and schedule cases in the court calendar.
  • Review documents for accuracy and completeness before routing them to judges for signature.
  • Monitor pending cases and prepare notices of dismissal.
  • Provide information to judges and process paperwork for the sheriff's office.
  • Scan documents, verify the quality of scanned images, and upload them into the case management system.
  • Provide customer service to the public, litigants, attorneys, agencies, judges, and court staff.

Requirements

  • High school diploma or equivalent.
  • At least three years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
  • Any combination of education and experience equivalent to three years of experience that supports the knowledge, skills, and abilities for the position.

Nice-to-haves

  • Experience performing clerical or administrative support with strict deadlines in a business or professional setting.
  • Experience using computers and software programs to access and input information and to complete a variety of work, including coordinating schedules and maintaining calendars.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience explaining policies, procedures, or processes.
  • Skill in writing and reviewing documents for accuracy and completeness.
  • Experience identifying and safeguarding confidential information and materials.
