About the position

The Third Judicial District is seeking a Court Operations Associate to join the Steele County Court Administration team in Owatonna, MN. This position is fast-paced and highly detail-oriented, encompassing a variety of responsibilities that include performing advanced clerical work and extensive work in the courtroom. The Court Operations Associate will be responsible for live case updating while court is in session, providing exceptional customer service, and ensuring compliance with applicable court rules, policies, and standards. This role requires direct interaction with the public, judges, and justice partners, necessitating the application of independent judgment and the interpretation of established laws, policies, procedures, and regulations based on training and knowledge gained through experience on the job. The position is classified as a Court Operations Associate and is located in the Steele County Courthouse, E. Main Street, Owatonna, MN 55060. Standard business hours are Monday to Friday, from 8:00 am to 4:30 pm. Major job duties include performing criminal courtroom clerking, preparing case files for court, checking people in, hosting Zoom for remote calendars as needed, swearing in witnesses, and live updating court files. The associate will also enter required permanent record information, update case information, and generate legal documents as decisions are made by the court during proceedings. Ensuring timely and accurate communication of custody, warrant, and sentencing information to partner agencies is also a critical aspect of the role. Additionally, the Court Operations Associate will independently perform clerical court work related to criminal case processing and other case types, schedule court hearings, and send notices to parties and attorneys. The role involves reviewing legal documents for completeness and compliance with rules and statutes, determining necessary processing actions, and communicating effectively with court stakeholders. Customer service is a key component, requiring the associate to respond to inquiries regarding court procedures and case status while adhering to data privacy regulations. Financial activities may also be part of the role, including calculating costs, receipting payments, and preparing bank deposits. Administrative duties will be assigned as needed.

Responsibilities

  • Perform criminal courtroom clerking and prepare case files for court.

  • Calculate costs and amounts due; receipt fines, fees, and bail via counter and mail payments; balance tills and prepare bank deposits.
  • Perform administrative duties as assigned.

Requirements

  • High school diploma or equivalent.
  • One (1) year of relevant job experience, which may include customer service, administrative work, office, and clerical work.

Nice-to-haves

  • Certificate or degree in a related field.
  • Considerable knowledge of court procedures, policies, and records management.
  • Experience working with the court's electronic case processing system.
