About the position

The Oregon Judicial Department (OJD) is seeking a dedicated and detail-oriented individual to fill the position of Court Operations Specialist (Courtroom Clerk) for the Marion County Circuit Court in Salem, Oregon. This role is crucial in supporting the judicial process and ensuring the smooth operation of courtroom activities. As a Courtroom Clerk, you will spend a significant portion of your day in the courtroom, providing essential clerical support to the judge and judicial assistant. Your responsibilities will include updating calendars, monitoring cases, processing exhibits, operating recording equipment, and maintaining accurate logs of court proceedings. You will be responsible for real-time data entry during trials and hearings, which involves filling out forms and preparing notices, orders, and other legal documents. Additionally, you will ensure the security of the courtroom, which is vital for maintaining order and integrity during court sessions. When not in the courtroom, you will provide administrative support in collaboration with other court staff. This includes initiating and maintaining various files, records, and monitoring systems related to case dispositions, proposed orders, correspondence, and conferences. You will also handle mail processing, screen calls, greet visitors, answer routine inquiries, and coordinate case activities with judges, court staff, attorneys, and litigants. Your role will also involve preparing lists, statistics, and reports related to caseloads, which are essential for the court's operational efficiency. Responsibilities

  • Provide clerical support to the judge and judicial assistant in the courtroom.
  • Update calendars and monitor cases.
  • Process exhibits and operate recording equipment during court proceedings.
  • Maintain accurate logs of court proceedings and perform real-time data entry during trials and hearings.
  • Fill out forms and prepare notices, orders, and other legal documents.
  • Ensure the security of the courtroom during sessions.
  • Provide administrative support in partnership with other court staff when not in the courtroom.
  • Initiate and maintain various files, records, and monitoring systems related to case dispositions.
  • Process mail, screen calls, and greet visitors.

Requirements

  • High school diploma or equivalent.
  • Four years of responsible administrative experience in a moderately complex office or business setting.
  • Any combination of education and experience equivalent to four years that supports the knowledge, skills, and abilities for the position.
