About the position

The Oregon Judicial Department (OJD) is seeking a dedicated and detail-oriented Court Operations Specialist (Jury Coordinator/Court Clerk) to join the Wallowa County Circuit Court in Enterprise, Oregon. This position plays a crucial role in ensuring the smooth operation of court proceedings and the effective management of jury services. As a Court Operations Specialist, you will be responsible for processing jury summonses, excusing and deferring jurors, assigning grand jurors, and checking in jurors for service. You will also organize and present juror orientations, swear in jurors, answer questions, process juror payments, and update jury forms. Your role will require you to prepare the courtroom and jury room, coordinate video and phone conferences during court sessions, record court proceedings, keep log notes, process and record evidence, mark exhibits, and provide clerical support to judges and attorneys. In addition to jury coordination, you will manage and review cases involving protective orders, juvenile matters, civil commitments, small claims, name changes, child support, and adoptions. You will enter new traffic citations, answer questions about suspended licenses and court processes, advise customers of their options, accept pleas, and determine eligibility for special programs. Your responsibilities will also include processing, reviewing, copying, and certifying court documents, as well as providing information, directions, and customer service to the public, jurors, attorneys, litigants, law enforcement officers, probation officials, and criminal defendants. You will assist self-represented litigants, explain court collection processes, help customers complete financial statements, set up accounts, accept and process payments, issue official receipts, and prepare daily deposits. As the only staff member on duty at times, you will receive cross-training to provide coverage throughout the entire court, including backing up the Treatment Court Coordinator. You will also participate in local, regional, and statewide training and educational programs. The tasks assigned to you may change to accommodate workload and organizational needs, making adaptability a key component of this role.

Responsibilities

  • Process jury summonses, excuse and defer jurors, and assign grand jurors.
  • Check in jurors for service and organize juror orientations.
  • Swear in jurors and answer questions regarding jury service.

  • Enter new traffic citations and answer questions about suspended licenses and court processes.
  • Advise customers of their options and accept pleas.
  • Determine eligibility for special programs and process court documents.
  • Provide information, directions, and customer service to the public, jurors, attorneys, litigants, law enforcement officers, probation officials, and criminal defendants.
  • Assist self-represented litigants and explain court collection processes.
  • Help customers complete financial statements and set up accounts.
  • Accept and process payments, issue official receipts, and prepare daily deposits.
  • Act as a liaison to local administrators and OJD's Business and Fiscal Services Division.
  • Monitor reports and maintain the traffic and accounting department's process manual.
  • Participate in local, regional, and statewide training and educational programs.

Requirements

  • High school diploma or equivalent.
  • Four years of responsible administrative experience in a moderately complex office or business setting, demonstrating the knowledge, skills, and abilities needed for this position.
  • Any combination of education and experience equivalent to four years of experience that typically supports the knowledge, skills, and abilities for the position.
