About the position

The Court Operations Specialist (PT) position is a part-time role within the New Hampshire Court System, specifically in the Central Processing department. This position is subject to the continued funding of the Judicial Branch by the Legislature. The role primarily involves general clerical work that requires the application of independent judgment and a limited interpretation of routine policies, practices, and rules. While advice and assistance are available upon request, most functions are performed with minimal supervision. The position necessitates specialized knowledge of court processes, as errors in this role can have significant consequences. Employees may be required to travel as part of their regular duties and may be reassigned at the discretion of the Administrative Judge. The essential functions of the Court Operations Specialist include a variety of clerical tasks such as opening, date stamping, sorting, and distributing mail. The specialist will check and review incoming and outgoing documents for completeness and accuracy, assign general case categories, and process documents in accordance with court rules. Additionally, the role involves assigning docket numbers, filing court records using various systems, typing notices and orders, answering phones, and preparing legal documents such as summonses and subpoenas. The specialist will also operate electronic recording machines to document court proceedings and may handle court revenue and maintain financial records as required. This position is crucial for ensuring the smooth operation of court processes and maintaining accurate records.

Responsibilities

  • Open, date stamp, sort, and distribute mail.
  • Check and review incoming and outgoing documents for completeness and accuracy.
  • Assign general case categories and process documents according to court rules.
  • Assign docket numbers and record information in appropriate files.
  • File court records using chronological, alphabetical, and numerical filing systems.
  • Type notices, orders, decrees, correspondence, and hearing lists.
  • Answer telephone calls and prepare copies of documents.
  • Prepare summonses, notices, warrants, subpoenas, and similar processes.
  • Compute applicable dates for service and return of service, affix court seal, and prepare copies of documents.
  • Operate electronic recording machines to record court proceedings.
  • Receive and record court revenue and maintain financial records and reports as required.

Requirements

  • High school diploma or GED required.
  • Two years of court clerical experience or equivalent combination of education and experience.
  • Knowledge of court procedures and policies, legal documents, statutes, and rules pertaining to the court.
  • Knowledge of the organization, operations, functions, and scope of authority of the court.
  • Knowledge of effective and efficient office practices and procedures.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and policies.
  • Ability to maintain a variety of records and prepare reports from such records.
  • Ability to establish and maintain effective working relationships with others.
  • Skill in the operation of a computer and other standard office equipment.
