About the position

The Oregon Judicial Department (OJD) is seeking a dedicated Court Operations Specialist (Records & Retention Clerk) to join our team in Coquille, Oregon. This full-time position plays a crucial role in supporting the Coos County Circuit Court and will involve a variety of responsibilities centered around managing court records and ensuring efficient operations. The successful candidate will be instrumental in handling all record requests, preparing documents for scanning into the electronic case management system, and assisting with the conversion of microfilm to digital formats for historical preservation. Additionally, the role includes processing set-aside and expungements, preparing necessary orders, and ensuring that notifications are sent to required agencies. In this position, you will also assist in the development and maintenance of various systems and procedures related to court operations. You will interact with a diverse range of individuals, including attorneys, the public, government agencies, and judges, providing guidance and training as needed. The work environment is dynamic, and tasks may be adjusted to meet the workload and organizational needs. Responsibilities

  • Handle all record requests for the court.
  • Prepare documents for scanning into the electronic case management system for all case types.
  • Assist with converting microfilm (microfiche) to the electronic case management system for historical purposes.
  • Process set-aside and expungements for both Coos and Curry Counties.
  • Prepare orders if not submitted by counsel and ensure notice is sent to required agencies.
  • Assist in the development and maintenance of systems and procedures related to court operations.
  • Provide assistance to the public regarding records requests in all formats.
  • Work collaboratively with attorneys, the public, government agencies, judges, and co-workers.
  • Act as a technical specialist or resource to others and provide training and guidance.

Requirements

  • High school diploma or equivalent.
  • Four years of responsible administrative experience in a moderately complex office or business setting.
  • Any combination of education and experience equivalent to four years that supports the knowledge, skills, and abilities for the position.

Nice-to-haves

  • Experience performing clerical or administrative support tasks with strict deadlines in a busy setting.
  • Experience using various software programs to access and input information.
  • Skill in communicating effectively both orally and in writing.
  • Skill in reviewing documents for accuracy, content, grammar, and punctuation.
