As a Court Operations Specialist, you will be responsible for a range of essential functions, including opening and distributing mail, reviewing documents for completeness, assigning docket numbers, and maintaining court records. You will also be tasked with typing various legal documents, answering phone calls, and preparing summonses and notices. The role requires a strong understanding of court procedures, legal documents, and effective office practices. Additionally, you will be expected to establish and maintain effective working relationships with colleagues and the public, ensuring a professional and efficient court environment.

Responsibilities

  • Open, date stamp, sort, and distribute mail.
  • Check and review incoming and outgoing documents for completeness and accuracy.
  • Assign general case categories and process documents according to court rules.
  • Assign docket numbers and record information in appropriate files.
  • File court records using chronological, alphabetical, and numerical filing systems.
  • Type notices, orders, decrees, correspondence, and hearing lists.
  • Answer telephone calls and prepare copies of documents.
  • Prepare summonses, notices, warrants, subpoenas, and similar processes.
  • Compute applicable dates for service and return of service, affix court seal, and prepare copies of documents.
  • Operate electronic recording machines to record court proceedings.
  • Receive and record court revenue and maintain financial records and reports.

Requirements

  • High school diploma or GED.
  • Two years of court clerical experience or equivalent combination of education and experience.
  • Knowledge of court procedures and policies, legal documents, statutes, and rules pertaining to the court.
  • Knowledge of effective and efficient office practices and procedures.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and policies.
  • Ability to maintain a variety of records and prepare reports from such records.
  • Ability to establish and maintain effective working relationships with others.
  • Skill in the operation of a computer and other standard office equipment.
