About the position

The Community Preservation Committee (CPC) Administrator is a part-time role responsible for supporting the CPC in managing grant processes, maintaining the CPA website and social media, and ensuring compliance with local and state guidelines. The position allows for remote work with some in-person requirements, focusing on administrative tasks and communication with grant recipients and city departments.

Responsibilities

  • Ensure compliance with all state and local regulations
  • Maintain the CPA website and social media accounts
  • Prepare and submit invoices for payment in conjunction with the City Auditor and Chief Purchasing Officer
  • Draft contracts between the CPC and grant recipients
  • Act as liaison with other City Boards and Commissions and City Departments
  • Prepare annual reports with the assistance of the City Auditor as required by the Department of Revenue (DOR) and CPA Coalition
  • Attend Community Preservation Coalition annual meetings, staff network meetings, and training workshops and inform the Committee of any changes to the CPA and associated regulations
  • Support grant applicants throughout the CPA application and grant process
  • Distribute meeting agenda and other information for CPC meetings
  • Post CPC meetings in accordance with Open Meeting Law
  • Place legal advertisements and public hearing notices, when required
  • Maintain all CPC information, data and files
  • Provide information to the public about the Holyoke CPA
  • Perform research functions on CPA projects
  • Monitor the progress of ongoing projects
  • Other tasks as assigned by the CPC

Requirements

  • Two years of experience in a business or administrative environment
  • Working knowledge of CPA policies, programs, and municipal government operations
  • Computer experience with a working knowledge of Google Docs, Google Drive, Google Forms, Google Sheets, Word and Excel
  • Proficiency in social media
  • Ability to manage multiple tasks and meet deadlines with attention to detail
  • Ability to work independently without day-to-day supervision

Nice-to-haves

  • Resident of Holyoke (preferred)
  • Associate's degree or higher in a related field
