About the position

The Creative Arts Team Administrative Assistant at CUNY's Office of K16 Initiatives plays a vital role in supporting the operational logistics of the Creative Arts Team (CAT). This position involves managing day-to-day administrative tasks, serving as a liaison for staff, and providing essential support to program directors and the Executive Director of CAT. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational and communication skills while addressing inquiries with sensitivity and confidentiality.

Responsibilities

  • Manage day-to-day operational logistics including supply orders, office requests, and catering requests.
  • Coordinate various administrative tasks for the Creative Arts project teams in partnership with K-16 Administrative and Fiscal Coordinators.
  • Oversee personnel tasks including hiring paperwork support, DOE fingerprinting clearance, and collection of timesheets.
  • Act as a resource on administrative policies and procedural matters for CAT, addressing inquiries and referring them to the appropriate administrator.
  • Organize and manage important back-up documentation of projects.
  • Serve as the administrative point person between the Creative Arts Team Office and the K-16 Initiatives Budget & Administration team.
  • Assist with other duties or special projects as assigned.

Requirements

  • Pursuing a bachelor's degree or completion of a 2-year degree.
  • Excellent oral and written communication skills.
  • Experience in office, program, and information management with suggestions for process improvements.
  • Exceptional organizational skills and attention to detail.
  • Excellent customer service skills and experience working collaboratively with a diverse community.
  • Ability to evaluate the time-sensitivity of requests and expedite accordingly.
  • Research and data analysis skills.
  • Proficiency in administrative, financial, and organizational programs such as Google Sheets and Office 365.

Nice-to-haves

  • Experience with virtual meeting/conferencing tools like MS Teams and Zoom.

  • Competitive pay range of $25.00-$30.00 per hour.
