About the position

Legrand is seeking a Special Project Coordinator to support the Cablofil Team in Mascoutah, IL. This role involves managing quotes, special orders, and projects for VIP customers, ensuring effective communication and coordination throughout the project lifecycle. The coordinator will also handle customer inquiries, resolve freight issues, and process returned materials, all while maintaining a high level of customer service and satisfaction.

Responsibilities

  • Provide point of contact for VIP customers for large/special orders/projects over 100K and manage these accounts.
  • Coordinate all aspects of customer support, including communication, performance, and auditing for large projects.
  • Schedule bi-weekly conference calls with internal sales team and customers to discuss project status.
  • Manage export projects for specified customers and travel as needed for site or customer visits.
  • Process orders, quotes, and freight analysis, interpreting various sales documents to fulfill customer requests accurately.
  • Approve quotes once reviewed and follow up with rep firms and distributors regarding order changes.
  • Manage and update customers' service portals and spreadsheets with current order status and shipments.
  • Process project quotes using electronic quotation systems and provide essential information for forecasting and scheduling.
  • Analyze and process bills of material from customer specifications, blueprints, or drawings.
  • Answer technical questions for customers regarding product lines and certifications.
  • Research and approve debits, ship and debits, and customer extras for the accounting department.
  • Process Return Material Authorization and customer credits, and gather information to set up new customers.
  • Resolve freight issues and track shipments, and process various reports related to orders.

Requirements

  • Bachelor's degree in business or related field or minimum 7 years equivalent experience is preferred.
  • Minimum 5 years of customer service experience in a manufacturing environment.
  • Strong organizational and time management skills with close attention to detail.
  • Ability to evaluate situations, identify options, and implement effective solutions quickly and efficiently.
  • Exceptional computer skills with extensive knowledge of word processing, spreadsheet, presentation, and database software.
  • Proficiency with ERP and CRM software is strongly preferred.
  • Excellent verbal and written communication skills, able to communicate effectively across all levels of the organization.
