About the position

The temporary Program Assistant (PA) Office Manager works closely with the permanent Summer Program Grades 6-12 Program Assistant. The Office Manager directly supervises a team of 8-10 Office Assistants and manages tasks as directed by the Summer Program Coordinator and Program Assistant. This is an active and visible role requiring high energy, flexibility, and attention to detail.

Responsibilities

  • Learn, implement, and adhere to CTD and Northwestern policies, procedures, and staff conduct expectations as outlined in the staff handbook and by administrative staff.
  • Uphold and promote the CTD Honor Code among staff and students.
  • Provide general office support, including clerical duties, data entry, report generation, and other administrative tasks.
  • Maintain accurate recordkeeping for the program, including student and staff files, enrollment information, and program documents.
  • Supervise and coordinate a staff of 8-10 Office Assistants as the primary supervisor in collaboration with CTD administrative staff.
  • Collaborate effectively with CTD administrative and program staff to complete program preparations and assigned responsibilities.
  • Assist the Supply Manager in managing and distributing supplies during the program.
  • Safeguard confidentiality of information regarding children, families, staff, and internal office discussions.
  • Support financial tasks by maintaining accurate records, managing receipts, and reporting expenses appropriately.
  • Organize and prepare pre- and post-program projects, including assisting with moves to on- and off-campus sites.
  • Lift and organize 40+ lbs. of supplies, including boxes, crates, and bins, to support workspace organization.
  • Must be willing to drive a Northwestern University-provided minivan across campus and across town.
  • Assume additional program-related responsibilities as assigned by CTD administrative staff.

Requirements

  • Previous office or clerical experience required, with additional experience in a fast-paced environment highly preferred.
  • Supervisory experience required.
  • Strong organizational, communication, and customer service skills are essential, along with attention to detail and creative problem-solving abilities.
  • Applicants must demonstrate a professional demeanor and a motivated, flexible, and positive attitude toward responsibilities in a fast-paced environment.
  • Computer proficiency, including data entry and data management, is required.
  • Must be able to lift 40+ pounds and traverse distances of at least one mile with or without accommodation.
  • A valid U.S. driver's license is required.

Benefits

  • Compensation: $20.00 per hour; 37.5 hours maximum per week; one-hour unpaid break daily.
