About the position

The Culinary Administrative Assistant at Omni Hotels & Resorts plays a crucial role in managing restaurant group bookings and promoting restaurant services to both resort and local guests. This position involves close collaboration with the Sales and Customer Service teams, as well as assisting with the day-to-day administrative needs of the culinary department. The role requires strong organizational skills and the ability to communicate effectively with guests and staff, ensuring a high level of service and satisfaction.

Responsibilities

  • Follow company and department safety and security policies and procedures to ensure a clean, safe, and secure environment.
  • Ensure nametag is worn and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.
  • Protect the privacy and security of guests and coworkers, maintaining confidentiality of proprietary materials and information.
  • Speak to guests and co-workers using clear, appropriate and professional language.
  • Responsible for all aspects of building and maintaining group, transient and local guest business.
  • Conduct site visits with meeting planners and attend pre-cons.
  • Establish excellent relationships with meeting planners and try to upsell dining.
  • Function as Liaison between Group, Restaurant and Hotel.
  • Schedule reservations in OpenTable and update and maintain large party tracker.
  • Update Restaurant Managers and Restaurant Chefs with detailed information of upcoming groups.
  • Coordinate with Restaurant Managers and Restaurant Chefs for any special/dietary needs.
  • Address any challenges with meeting planners or attendees with appropriate managers.
  • Assist in creating and implementing food and beverage marketing plan.
  • Develop and implement creative ideas to increase transient and local guest business.
  • Plan and oversee restaurant parties and events.
  • Answer telephones using appropriate etiquette, including answering within 3 rings and using the caller's name.
  • Produce PO's as needed for the division and culinary department, including payroll, daily edits, and time sheets.
  • Perform other reasonable job duties as requested by Food & Beverage Director and/or Executive Chef.

Requirements

  • Ability to satisfactorily communicate in English with guests, management, and co-workers.
  • Ability to compute basic mathematical calculations.
  • Good computer experience, particularly with word processing, Microsoft Access, and Excel.
  • Strong organizational skills, creativity, and resourcefulness.
  • Very strong interpersonal and relationship-building skills.
  • Ability to work cohesively as a team and understand guests' expectations.
  • Highly visible, approachable, and professional presence.
  • High school graduate, with some college preferred.
  • Previous restaurant experience in a similar environment preferred.
  • Public speaking experience preferred.
  • Self-motivated, driven, and creative.
  • Ability to suggestively sell restaurant services and enhancements.
  • Ability to multi-task while staying organized and focused on details.
  • Ability to perform job functions with minimal supervision, complete tasks quickly, and maintain an overall sense of urgency.
