About the position

The Customer Care Receptionist/Data Clerk, Bilingual position at Tulsa Public Schools is designed to provide essential support in both customer service and data management within the Enrollment Center. This role is pivotal in ensuring effective communication between the school and its diverse community, particularly for Spanish-speaking patrons. The individual in this position will be responsible for providing translation and interpretation assistance, ensuring that all internal and external communications are clear and accessible. This includes answering and directing incoming phone calls, managing emails, and greeting customers in a friendly and professional manner. The receptionist will also oversee the Spanish phone call system, ensuring that all inquiries are addressed promptly and accurately. In addition to customer service duties, the role involves clerical responsibilities such as maintaining visitor logs, processing survey questions, and collecting various data to update departmental OKR metrics. The receptionist will also play a key role in maintaining building security and emergency plans, assisting with student records, and supporting state reporting requirements. This position requires a proactive approach to problem-solving and a commitment to fostering a welcoming environment for all students and families. Responsibilities

  • Provide Spanish translation and interpretation assistance with internal and external customers.
  • Answer and direct incoming phone calls to all departments in the Enrollment Center.
  • Communicate positively with patrons, school personnel, and students.
  • Sign for all deliveries to the building and ensure distribution to the correct department.
  • Serve as a liaison with the building custodian.
  • Greet and direct customers, providing enrollment information to patrons.
  • Oversee and answer the Spanish phone call system and emails.
  • Maintain visitor logs and process survey questions.
  • Collect various data and update departmental OKR metrics.
  • Maintain building security and emergency plan, assist with student records, state reporting, and other clerical duties as needed.

Requirements

  • High School diploma or equivalent; college credit or degree preferred.
  • Two (2) years of front-facing customer service experience.
  • One (1) year of experience in K-12 settings that serve low-income students and communities.
  • Fluent in written and oral communication in English and Spanish.
  • Proficient in Microsoft Office Suite and Google Office Suite.
  • Possess or willing to obtain Notary Public certification.
