About the position

The Customer Service / Administrative Assistant at Eastern Quality Foods plays a crucial role in supporting the sales team and ensuring efficient order processing. This position involves reviewing orders, communicating with sales representatives, and managing customer data, all while maintaining a high level of accuracy and attention to detail. The role is essential for maintaining inventory levels and facilitating smooth operations within the company.

Responsibilities

  • Review all orders entered to ensure sufficient inventory is on hand
  • Communicate with Sales Representative if any order changes are necessary
  • Input any order changes requested by Sales Representative after ensuring Sales Manager's approval
  • Access system data to provide timely and accurate information to the sales team
  • Review any orders received after hours and release them for picking prior to the following morning
  • Enter all sales orders into SAP by the following day
  • Respond to intercompany requests for information
  • Add new customer data into the system
  • Communicate customer requests to drivers
  • Keep General Manager informed of requests for information
  • Deposit checks and reconcile accounts in Listaso
  • Manage aging report and contact any accounts that are past due
  • Keep account data current in SAP/Listaso and suggest improvements to AR processes
  • Help standardize company procedures
  • Generate and manage inventory, market, and accounting reports
  • Identify KPIs to improve sales analysis and customer interactions
  • Work closely with Sales Manager to create specials and features in Listaso
  • Generate Purchase Orders and send confirmations to suppliers
  • Check Sales Confirmations for accuracy
  • Manage marketing communications

Requirements

  • Ability to prioritize and meet deadlines in a fast-paced environment
  • Detail-oriented and able to multi-task with strong communication skills
  • Outstanding verbal and written communication skills
  • Basic computer skills including Word, Excel, and Outlook

Nice-to-haves

  • Bilingual
  • Prior knowledge or experience with SAP
  • Food distribution background
