About the position

The Customer Service Associate I at Texas A&M University's Veterinary Medical Teaching Hospital plays a crucial role in providing exceptional communication and customer service support. This position involves assisting faculty, staff, and students with patient care and treatments while maintaining a clean and organized service area. The associate will handle incoming calls, schedule appointments, and ensure adherence to hospital policies and procedures, contributing to the overall efficiency and effectiveness of the veterinary services provided.

Responsibilities

  • Answers incoming calls for the department and shares relevant information with appropriate staff, faculty, students, or service areas via email or text message.
  • Ensures that all emergency cases are handled immediately by notifying the front desk staff and ER staff of potential emergencies and arrival times.
  • Transfers calls to the appropriate service when prompted and promotes communication between clients, rDVMs, clinicians, techs, and all other staff as appropriate.
  • Assists with appointment scheduling for new and recheck patients, coordinating with specialized services.
  • Records new patient information for local and referral clients and patients, entering and updating all client/patient information into the hospital information system.
  • Deconflicts appointment issues with clinicians and the Client Service Section, verifying and updating client/patient information for accuracy.
  • Assists in gathering and recording referral information from rDVMs, including medical records.
  • Ensures adherence to policies and procedures consistent with TAMU and veterinary medical teaching hospital policies, procedures, and confidentiality protocols.
  • Performs other duties as assigned and provides support to other service areas within the Veterinary Medical Teaching Hospital.

Requirements

  • High school diploma or an equivalent combination of education and experience.
  • Two years of general office or clerical experience.
