The Customer Service Representative (CSR) Dispatcher at Infinity Texas Air is a vital role focused on scheduling and managing service appointments, developing sales opportunities, and ensuring customer satisfaction. This position requires effective communication and organizational skills to handle customer inquiries, dispatch service technicians, and maintain accurate records, all while contributing to a positive team environment.

Responsibilities

  • Schedule and book service or sales appointments for clients and prospects.
  • Develop profitable sales and acquire customers through established sales and marketing programs.
  • Identify new business opportunities through direct sales activities.
  • Dispatch, manage, and allocate resources to meet client expectations.
  • Process paperwork from service technicians and payments from customers.
  • Maintain confidentiality of all information encountered.
  • Generate leads through networking, data mining, and referrals.
  • Answer phone calls promptly and professionally.
  • Confirm maintenance appointments and schedule as necessary.
  • Coordinate scheduling and dispatch with the service manager.
  • Sell new service agreements and renew existing ones.
  • Monitor and maintain maintenance programs, updating ownership and job information.
  • Record and maintain sales lead information and set appointments as necessary.
  • Communicate clearly and friendly with customers and team members.
  • Identify possible sales opportunities and alert managers to significant customer issues.

Requirements

  • Minimum of 2 years' experience in customer service and/or dispatch, preferably in the HVAC industry.
  • Ability to learn about products and services offered, requiring additional study and training.
  • Effective communication skills with associates, superiors, vendors, and customers.
  • Superior interpersonal skills and time management abilities.
  • Understanding of client needs and ability to influence decisions favorably.
  • Computer literacy, including knowledge of Excel and Word, and familiarity with smartphones, email, and text messaging.
  • Clean, neat, and professional appearance.
