About the position

The Customer Service Representative / Front Desk Administrative Assistant position at Common Interest Management Services is an entry-level role designed for individuals looking to start a career in Community Association Management. This role involves providing exceptional customer service and administrative support for multiple homeowners' associations, with opportunities for advancement into management training programs for high-performing employees.

Responsibilities

  • Provide front desk administrative support and customer service for homeowners' associations.
  • Work closely with the Community Association Manager and Senior Management staff.
  • Handle telephone calls and emails, resolving inquiries professionally.
  • Issue, track, and follow-up on work orders for community maintenance and repairs.
  • Manage violations of community CC&Rs by issuing and tracking violations.
  • Track and manage architectural applications submitted by homeowners.
  • Manage building key/gate remote distributions.
  • Greet clients and facilitate their requests.
  • Prepare and distribute document packets for meetings.
  • Maintain spreadsheets and perform data entry tasks.
  • Prepare letters, newsletters, and other correspondence.
  • File mail and electronic documents.

Requirements

  • High school diploma or GED required.
  • 2 years of customer service experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organization and multitasking abilities.
  • Outstanding telephone presence and professional demeanor.
  • Computer proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.

Nice-to-haves

  • Past experience with an HOA management company, property management, real estate, or escrow services is a bonus.
