About the position

The Associate Customer Service Representative / Buyer role is a dynamic position that provides exposure to various departments, including Customer Service, Supply Chain, and Operations. This role is essential in supporting both the Customer Service and Supply Chain teams while managing the reception area to ensure a positive first impression for visitors. The position involves customer interactions, order processing, supply chain support, and administrative tasks, allowing the candidate to develop operational skills and proficiency in ERP systems.

Responsibilities

  • Greet visitors and manage the reception area, ensuring a welcoming environment.
  • Coordinate meetings, events, and customer visits, ensuring smooth logistics.
  • Maintain and organize the customer refreshment area and support hospitality needs.
  • Support the distribution of customer quotations and documentation under leadership direction.
  • Serve as a primary point of contact for customer inquiries via phone and email.
  • Process customer purchase orders and resolve order-related issues efficiently.
  • Communicate order status updates and potential delays to customers.
  • Process and scan Return Goods Authorization (RGA) forms and ensure compliance with return processes.
  • Generate reports related to customer service activities using ERP systems and Microsoft Office tools.
  • Manage customer filing systems, maintaining accurate records for customer service and finance.
  • Assist in the purchase order process by confirming supplier orders and placing orders as required.
  • Run reports related to supply chain activities and collaborate with Materials Manager and Buyers.
  • Use the DelmiaWorks ERP system to manage supply chain functions and maintain accurate data.
  • Maintain organized filing and record-keeping systems for customer service and supply chain functions.
  • Support internal teams by generating reports and processing documentation.
  • Adhere to company quality systems and uphold safety and cleanliness in the work environment.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two years' experience in customer service or a similar role in a manufacturing or operational environment preferred.
  • Strong interpersonal communication skills, both verbal and written.
  • Demonstrated ability to provide excellent customer service.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong attention to detail with a problem-solving mindset.
  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Familiarity with ERP systems, preferably DelmiaWorks.
  • Ability to work independently and as part of a team.

Nice-to-haves

  • Associate's or Bachelor's degree preferred.
  • Experience in medical device manufacturing or a regulated industry is beneficial.
  • Familiarity with FDA and ISO-13485 standards is a plus.

Benefits

  • Temporary position with pay ranging from $20.00 to $24.00 per hour.
