About the position

The Customer Service Representative at Harcros Chemicals Inc. serves as the first point of contact for customers, handling inquiries through various channels including email, phone, and in-person interactions. This role is crucial for processing orders, maintaining communication with customers and suppliers, and ensuring accurate order fulfillment. The representative will also participate in general office duties and support various internal departments, contributing to the overall efficiency of the organization.

Responsibilities

• Handle a large volume of emails, phone calls, and sales order processing.
• Act as a liaison between customers and internal & external associates.
• Process orders for materials or merchandise received from customers.
• Interact with customers & suppliers via email, phone call, and web portal.
• Participate in general office duties such as filing and ordering office supplies.
• Enter orders into the computer, check inventory levels, and generate shipping papers.
• Maintain constant communication with customers regarding their order status.
• Serve as the point of contact for external & internal departments such as customers, suppliers, and shipping carriers.
• Check orders for accuracy and gather required additional documentation.
• Prepare & process invoices and assist the Credit Department by checking customer payment status.
• Process vendor invoices, freight bills, product returns, and freight claims.
• Maintain a signature file of additional forms for customer order release.
• Schedule production of products as necessary.
• Coordinate shipments to other branch facilities and customers.

Requirements

• High school Diploma or General Education Degree.
• 1-3 years related experience and/or training, or equivalent combination of education and experience.
• Customer-focused professional with efficient multi-tasking skills.
• Exceptional communication skills and excellent organization & problem-solving skills.
