Pro Staff is seeking a Customer Service Representative to join a leading company in Maple Grove, MN, specializing in cold chain distribution solutions. The role focuses on delivering exceptional customer service while managing customer accounts and coordinating the order process. The ideal candidate will be proficient in Microsoft Office and possess strong communication skills to effectively liaise with customers and internal teams.

Responsibilities

• Create and manage customer accounts.
• Process credit approvals and complete supplier qualification forms.
• Maintain the sales order management process and ensure clear communication regarding order status.
• Coordinate the entire order process from processing customer orders to maintaining accurate records.
• Generate order acknowledgements and confirm delivery dates.
• Update SAP as needed and communicate Advanced Shipping Notifications (ASN) to customers.
• Work closely with internal and external sales teams and other departments to meet customer expectations.
• Create sales orders and process manual debit and credit notes.
• Respond promptly to customer inquiries via phone and email.

Requirements

• Proficient in Microsoft Office (Word, Excel, Outlook).
• Experience with electronic order processing software.
• Strong verbal and written communication skills.
• Exceptional attention to detail and accuracy.
• Excellent problem-solving, documentation, and research skills.
• Ability to manage sensitive information with discretion.
• Ability to prioritize and manage multiple tasks independently with minimal supervision.
• Previous sales support experience.
• Familiarity with SAP is a plus.
