About the position

The Cvent Event Specialist will support a client's two-city event series in 2025 by managing the Cvent registration site and program apps. This role involves working closely with the Senior Event Producer and client liaison to ensure successful event execution, from registration to on-site management. The position requires a detail-oriented individual with a strong background in Cvent and event planning, who can effectively communicate with clients and manage multiple tasks simultaneously.

Responsibilities

  • Lead client through questionnaire process to refine registration and app systems.
  • Clone, revise, maintain, and update registration sites for two separate events.
  • Create and revise registration types, admission fees, and agendas as directed by the Project Lead.
  • Create session locations for each venue as provided by the Senior Event Producer.
  • Create agendas with included and optional sessions, descriptions, and locations.
  • Maintain and report on registration limits and wait lists for hands-on training sessions.
  • Create speaker profiles and upload relevant materials such as bios and headshots.
  • Integrate travel opportunities into the Site Designer, including hotel and flight management.
  • Create and schedule registrant-specific emails in Email Designer.
  • Conduct testing of all registration sites and apps for approval.
  • Respond to registrant queries within a 48-hour limit.
  • Create Event App using Cvent Event App builder and manage push notifications.
  • Act as On-Site Registrant for events, coordinating registration issues with the Senior Event Producer.
  • Set up and maintain the Registration Desk on-site, ensuring all materials are ready.
  • Train and manage on-site team of brand ambassadors for the Registration Desk.
  • Participate in internal brainstorming and strategic discussions as needed.
  • Build and send out post-event surveys and report on results.

Requirements

  • 3 - 5 years' experience in event planning, meeting planning, or experiential marketing.
  • 3+ years' experience in Cvent Registration creation.
  • Intermediate or higher understanding of Excel and Google Suite.
  • Mastery of the Cvent suite of tools and customer service navigation.
  • Experience building, managing, and deploying a Cvent registration system within the last 6 months.
  • Experience building and managing an event app within the last 12 months.
  • Ability to travel domestically for assigned projects, up to 5% of the year.

Nice-to-haves

  • Experience working with clients in the beauty or haircare industry.
  • Familiarity with online meeting systems, particularly Google Meet.
  • Cvent certification or in-depth experience using the software.
