About the position

The Data Entry Accounts Payable/Accounts Receivable Clerk at Rose Pallet is a full-time position responsible for processing invoices, payments, and maintaining vendor and customer relationships. This role is essential for ensuring accuracy in financial records and supporting the accounting team. The position offers a hybrid work model, allowing remote work two days a week after the initial 30 days.

Responsibilities

  • Process vendor invoices and verify accuracy of pricing, quantities, and authorization.
  • Match invoices to receiving documents (Bill of Lading).
  • Maintain vendor records and perform regular reconciliation of vendor statements.
  • Generate and send customer invoices and supporting documentation.
  • Process payments (ACH, checks, and credit cards) and apply them to accounts.
  • Prepare and send customer statements and provide sales support when needed.
  • Regularly reconcile customer accounts and resolve discrepancies.
  • Reduce delinquency and work proactively to minimize overdue accounts.
  • Contact customers to resolve past-due payments and provide solutions.
  • Collaborate with accounting and management on collection strategies.
  • Prepare weekly collections reports.
  • Maintain organized electronic and physical filing systems for vendor and customer records.
  • Evaluate and analyze customer credit data to assess creditworthiness.
  • Make recommendations for new customer credit approvals and establish credit limits.
  • Provide administrative support to the accounting team, including answering phones and assisting with reports.

Requirements

  • High school diploma required; Associate's degree in accounting or related field preferred.
  • Proven experience in data entry for accounts payable and receivable functions.
  • Knowledge of basic accounting principles and experience with QuickBooks or similar software.
  • Proficiency in Microsoft Office Suite and strong data entry skills.
  • Ability to handle sensitive financial information with discretion.
  • Valid driver's license and clean driving record.
