About the position

The Data Entry Clerk provides comprehensive data entry and support services for programs administered by Admissions & Recruitment. This position is primarily responsible for data entry of applications and information into data systems while maintaining excellent customer service. The role operates under the direct supervision of the Manager of Admissions and receives work direction from the Admissions Specialist and Admissions Coordinators. The Data Entry Clerk is expected to make routine choices within established procedures with readily available supervision and perform intermediate troubleshooting or analysis, requiring interpretation of data using generally prescribed procedures. Frequent interaction with clients is necessary to provide basic information, occasionally requiring detailed procedural explanations or technical responses. The responsibilities include accurately entering and attaching family information into all data systems within specified deadlines, determining family eligibility based on applications received, and providing program information and instructions to clients who visit or call the Admissions office. The clerk must note all client contact in the family's electronic record and other applicable data systems. Additionally, the role involves providing application intake and interview support at the Admissions office or application events, reviewing applications and required documents, conducting application interviews, and recording detailed notes in all applicable data systems. The Data Entry Clerk will also assist with processes for Family Enrollment Meetings (FEM) and processing Admissions Change Requests (ACRs) as assigned. Other tasks may include preparing, processing, and submitting required student documents for public school partnerships, recording daily attendance in the TPS PowerSchool data system, and assisting with daily filing and year-end document retention processes for students who drop or age out of the program. The clerk may also cover reception breaks and lunches as assigned and perform other duties as needed.

Responsibilities

  • Accurately enter/attach family information into all data systems within specified deadlines.
  • Determine family eligibility, including applications received by department staff and temporary employees.
  • Provide program information, instructions on how to apply to the program and/or waitlist status to clients who visit or call the Admissions office.
  • Note all client contact in the family's electronic record and all other applicable data systems.
  • Provide application intake and interview support as needed at the Admissions office or application events.
  • Review applications and required documents, conduct application interviews, and record detailed notes in all applicable data systems.
  • Assist with processes for Family Enrollment Meetings (FEM); if requested and complete FEM intake and interviews as assigned.
  • Assist with processing Admissions Change Requests (ACRs) as assigned.
  • Assist with tasks associated with public school partnerships, including preparing, processing, and submitting required student documents.
  • Record daily attendance in TPS PowerSchool data system.
  • Assist with daily filing and year-end document retention processes for students who drop and age-out of the program.
  • Cover reception breaks and lunches as assigned.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • One year of equivalent work experience required.
  • Bilingual (English/Spanish) is required.
  • Proven successful interpersonal relationship skills to maintain effective working relationships with staff, vendors, clients, and visitors.
  • Ability to follow verbal and written instructions and present information efficiently and effectively.
  • Ability to accurately audit records and ensure compliance with guidelines.
  • Ability to take initiative, multi-task, and work well under pressure.
  • Must maintain strict confidentiality of sensitive data and records.
  • Intermediate MS Office skills required.
  • Advanced organizational skills, efficiency skills, and excellent attention to detail.
