About the position

The Data Entry Clerk position is primarily focused on providing clerical support and managing records for the Texas Educating Adults Management System (TEAMS). This role is essential in ensuring that the registration process for adult education is efficient and effective. The clerk will assist in assessing the community's education needs, recruiting and registering students, and determining their eligibility for programs. The position requires a flexible schedule to accommodate the needs of the program, ensuring that all tasks are completed in a timely manner. In addition to clerical tasks, the Data Entry Clerk will create and maintain spreadsheets to track student information, perform data entry into TEAMS and other databases, and check the integrity and accuracy of the data. The clerk will also be responsible for providing data reports to staff, assisting in tracking students' progress towards obtaining their GED certificates, and ensuring that they transition successfully to employment or further education. Regular attendance is crucial to avoid disruptions in district operations, and the clerk will be expected to provide excellent customer service to all stakeholders, including students, employees, and community members. The role also involves maintaining confidentiality in filing systems, engaging in professional development, and adhering to safety rules and policies. The Data Entry Clerk will support the program and district goals while demonstrating a high level of ethical and professional conduct. This position is non-exempt and requires a high school diploma or equivalent, along with basic clerical and computer skills, including proficiency in MS Office Suite. Bilingual communication skills in English and Spanish are also essential for effective interaction with diverse populations.

Responsibilities

  • Assists with the assessment of the district's community education needs and priorities through both formal and informal means.
  • Assists with recruiting, registering, and determining eligibility of the Adult Education students.
  • Creates and maintains spreadsheets to track new and updated student information.
  • Performs clerical tasks and office routines related to the community education classes.
  • Attends work on a regular and routine basis to avoid the disruption of district operations.
  • Places and receives phone calls and records messages.
  • Uses TEAMS (Texas Educating Adults Management System) data to monitor and analyze the program's performance.
  • Enters data into TEAMS and other databases as specified by the director.
  • Checks data integrity and accuracy.
  • Provides data reports to staff for monitoring participants' progress.
  • Assists in tracking and following up with students to ensure that students are attaining the GED certificate, employment and/or transition to post-secondary educational goals.
  • Maintains a regular filing system, ensuring confidentiality as required by the program or district guidelines.
  • Plans for and engages in professional development.
  • Upholds and adheres to safety rules and policies of the SISD safety program.
  • Supports the program/district goals and objectives and follows all district policies.
  • Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to program and district operations.
  • Provides optimal customer service by identifying and meeting the needs of all students, employees, parents, community members and any other stakeholders of the district.
  • Participates in networking with key stakeholders and professional groups.
  • Demonstrates a high level of independent, ethical, and professional conduct.
  • Performs any other duties as assigned by the appropriate supervisor.

Requirements

  • High school diploma/equivalent or higher.
  • Minimum of one (1) year verifiable data entry or related office experience.
  • Must possess basic clerical skills and type 40 words per minute.
  • Must possess basic computer skills to include MS Office Suite (Word, Excel, Outlook).
  • Demonstrate the ability to effectively communicate with district employees, students, and the public.
  • Demonstrate ability to effectively communicate in English and Spanish.
